Reports to VP of Marketing
The Marketing Coordinator is responsible for the financial and administrative support to the Marketing department and to the VP of Marketing. This position is responsible for maintaining budget and tracking all marketing expenses. Additionally, this position is engaged in maintaining liaison between internal departments and external agencies (New Media/Digital, Sales, Accounting/Finance, Radio, TV & Press Promotion), the coordination of all travel arrangements for WMG recording artists while on promo and during concert tours in assigned territories, as well as maintaining external contacts such as artists' management offices and other Warner Music offices.Responsibilities:
• Create and maintain budget and PO trackers on a daily basis
• Create PO's, as well as, request estimates, invoices and required tax documents for domestic and international entities
• Work with Label Managers to collect, analyze and report financial data per artist for all campaigns to stay within approved budget
• Communicate with other internal departments to track marketing video expenses
• Work closely with Finance/Accounting department to stay up to date with expenditure and ensure timely PO/Invoice processing and payments
• Oversee marketing contracts with the Legal department to ensure that financial policies are included and followed
• Inform all external vendors of company's financial policies and payment terms
• Be the liaison between the Finance department and external vendors; manage vendor relations
• Setup and coordinate meetings and conferences
• Create weekly marketing status presentations, as well as transcribe and distribute marketing meeting agendas and minutes
• Collect marketing and promotional tools needed for each project (bio, press releases, photos, alt versions, TV tracks, videos, EPKs, phoners, promo visits, etc.)
• Elaborate and distribute charts, press releases, streaming data and any important information to promoters, publicists, etc.
• Coordinate promo visits and travel logistics for artists and their teams nationwide
• Participate and contribute to all marketing campaign brainstorming sessions
• Work with Nielsen Soundscan to encode necessary songs for radio promotion
• Run certification reports for requested singles and albums
• Work with RIAA and plaque makers to provide official certification awards
• Maintain non-contractual playlist initiatives
• Assist Label Managers with off-site artist promotional activities
• Oversee and manage contracts for logistics of events for all participating artists, artists' teams, and Warner Music team members
• Assist Marketing team during award ceremonies and media events; occasional overnight travel, weekend and/or evening work
• Maintain current knowledge of entertainment news, changes and events that revolve around the industry
• Keep track and update company artist roster
• Oversee Fed-Ex/UPS packages
• Assist Marketing team with day to day ad-hoc assignments

Skills/ Special Requirements:
• Bachelors degree
• Minimum 2 years experience; music/entertainment industry experience preferred
• Computer literate with ability to learn new software applications including, but not limited to, finance/accounting software
• Proficient in Microsoft Office including Teams, Sharepoint, Word, Excel, PowerPoint and Outlook
• Excellent written and verbal communication skills in both English and Spanish
• Experience and desire to work in a fast-paced, high volume environment and ability to multi-task and prioritize
• Content editing experience a plus (i.e., Adobe Creative Suite)
