Job Title: Assistant, Media & Strategic Development
A little bit about our team:
The Media & Strategic Development team (Publicity) develops and implements comprehensive media campaigns for Warner Records roster of superstar and developing artists.
Your role:
Warner Records is seeking a highly organized, enthusiastic, and proactive Assistant to provide comprehensive administrative and operational support to the Publicity department. This role is crucial in ensuring the smooth and efficient execution of publicity campaigns for our diverse roster of artists. The ideal candidate will have a passion for music, a strong understanding of media landscapes, and exceptional communication and organizational skills.
Here you'll get to:
• Support two senior publicist through managing complex calendars, scheduling meetings, and coordinating travel arrangements alongside
• Provide general office support by answering emails, fielding media inquiries, submitting expenses, and coordinating mailings, etc.
• Prepare and process expense reports accurately and in a timely manner
• Maintain and organize press clippings, media lists, and departmental files
• Monitor, track and clip media coverage; create news updates
• Manage variety of press calendars and schedules
• Research and compile media contacts for various campaigns (print, online, broadcast, podcasts, etc.)
• Draft and/or proofread various communications, including press releases, media alerts, pitches, and internal memos
• Liaise with media, managers, partners and internal departments including marketing, promotion, digital, creative, commerce, international, etc.
• Coordinate artist interviews, photoshoots, special events, and appearances
• Help organize and execute press events, listening parties, and red carpet appearances
• Pitch and coordinate media interviews and tour press
• Coordinate servicing of advanced music and press materials
• Serve as a high-energy and professional PR liaison
• Assist in the creation and distribution of press materials, including artist bios, press photos, and EPKs (Electronic Press Kits)
• Monitor news and industry trends relevant to artists and the music business
• Update and maintain media databases (e.g., Cision, Muck Rack) with accurate contact information and media outlet details
• Ensure all publicity materials are archived and easily accessible
• Provide ad-hoc support to the publicity team as needed
• Stay informed on company priorities, artist releases, and industry news
About you:
• 1-2 years of administrative experience, ideally within a music, entertainment, media, or PR agency setting
• Exceptional verbal, written, and interpersonal communication skills
• Strong organizational and time management abilities, with the capacity to juggle multiple tasks and prioritize effectively in a fast-paced environment
• Familiarity with media monitoring tools and databases (e.g., Cision, Muck Rack, Meltwater) is a plus
• Solid understanding of traditional and digital media landscapes, including social media platforms
• Ability to work independently and as part of a collaborative team
• Discretion and ability to handle confidential information
• Proactive and resourceful with a ''can-do'' attitude
• Passion for music and a genuine interest in artist development and media relations
We'd love it if you also had:
• Proficiency in Google Workspace, Adobe Photoshop, Cision, Burrelle's, Filemaker Pro
• College Degree Preferred

Salary Range
$17.95 to $23.00 Hourly
Salary ranges are included for job postings where required by law. The actual base pay is dependent upon many factors, such as work experience and business needs. The pay range is subject to change at any time dependent on a variety of internal and external factors.
