Job Description
We are hiring for 2 Administration Apprentices at Warner Bros. Studios Leavesden to support our Set Lighting and Facilities teams with the day-to-day running of their departments.

The Facilities Administrator Apprentice will contribute and support the planning and execution of projects on all areas of our Leavesden site - the Film Studios, Warner Bros. Studio Tour, The Making of Harry Potter and Leavesden Park. They will be responsible for all administrative tasks associated with the execution of construction projects including raising contracts and purchase orders, scheduling meetings and maintaining project documents and reports as well as administrative tasks associated with the efficient running of the Projects team. Due to the nature of our business the role can change and expand at short notice.

The Set Lighting Administration Apprentice will provide administrative support to the Set Lighting Department, working alongside the managers and a coordinator to support all ongoing admin requirements. The role will ensure efficient service delivery of services to our clients and customers. Demonstrating adaptability, the apprentice will support the admin team to allow for the smooth day to day running of the Set Lighting office.

Your Role Accountabilities…
• Communicating with WBSL departments and staff, stakeholders and contractors.
• Performing administrative tasks such as preparing invoices, raising purchase orders, scheduling meetings, maintaining financial spreadsheets, research, etc.
• Processing purchase orders for goods and services, ensuring that deliveries are received and any discrepancies on invoices are checked.
• Receiving, processing and issuing incoming queries to the relevant parties to ensure a quick and efficient resolution of queries.
• Filing and maintaining records on all platforms.
• Assisting in stock management to ensure sufficient stock levels are maintained to prevent waiting for goods.
• Welcoming visitors and directing them as necessary; dealing with enquiries via the telephone, e-mail and other correspondence and referring on as appropriate.
• Responsible for access requirements and site induction for all visitors and contractors etc visiting site.
• Ensuring that mail is despatched in time for daily collections, and the sorting and distribution of incoming post.
• Ad hod support to the teams as required.

Qualifications & Experience…
• Our apprenticeship positions are designed to be an alternative to university education, therefore we are only seeking applications from people who have not already graduated from university with a degree. Strong organisational skills with a keen eye for detail.
• Ability to cope under pressure and communicate effectively to clients and colleagues, responding quickly and appropriately to requests, using own initiative, and being prepared to ask for help and advice when necessary.
• Ability to work pro-actively to ensure smooth running of the site.
• Ability to file both hard and soft copy records and information in an effective manner for fast and efficient retrieval
• Good research skills and the ability to draw information from various sources.
• Working knowledge of Microsoft Office systems.
• Self-motivated, enthusiastic and capable of working on own initiative.
• Flexible and adaptable to the changing business needs.

• Salary: £26,272 p/a
• Start Date: April 2025
• End Date: March 2027
• 25 days annual leave
• Qualification: Level 3 Business Administration Apprenticeship
