Job Title: Project Operational Assistant
Reports to: VP Project Lead & Construction Project Director (China Based)
Location: Shanghai, China
Job Summary
The Project Operational Assistant will play a crucial role in supporting the successful delivery of the Warner Bros. Studio Tour Shanghai project. This position involves coordinating various administrative and operational tasks, ensuring smooth communication between team members, and assisting in the overall management of the project. The ideal candidate will have strong organisational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
This project is supported by two key design consultancies: Tait and Lumsden. Tait is responsible for the design and coordination of all show-related elements, including AV, media, special effects, and interactive installations, ensuring these components are seamlessly integrated into the overall experience. Lumsden is leading the design of Food & Beverage (F&B) and Retail areas, ensuring an immersive and high-quality guest experience in these commercial spaces. Both consultancies will play an active role during the build phase, working closely with the internal project team, contractors, and vendors to oversee the successful execution of their respective areas. The role will require close collaboration with these consultancies to ensure alignment with project schedules, construction milestones, and quality expectations.

Key Responsibilities
Administrative Support:
• Provide comprehensive administrative support to the project delivery team, including scheduling meetings, managing calendars, and preparing reports.
• Oversee the organization, storage, and retrieval of project documents, ensuring all documentation is up-to-date and easily accessible.
• Facilitate effective communication between team members, stakeholders, and external partners. Act as a point of contact for project-related inquiries.
Coordination:
• Assist in coordinating project activities, including procurement, legal, finance, and other support departments. Ensure all tasks are completed on time and within budget.
• Organize and coordinate project meetings, including preparing agendas, taking minutes, and following up on action items.
• Identify opportunities for improving operational efficiency and implement best practices to streamline project processes.
Reporting:
• Prepare and distribute regular project status reports, highlighting key milestones, risks, and issues. Assist in the preparation of presentations and other project-related materials.
• Support the Project Managers in their day-to-day activities, ensuring alignment with project goals and timelines.
Operational Efficiency:
• Implement QA/QC processes to uphold the highest standards in project operations.
• Ensure all operational activities comply with local regulations and safety standards.
• Address any operational challenges and propose effective solutions.
Stakeholder & Cross-Team Communication:
• Prepare regular updates to senior management on project progress, risks, and mitigation strategies.
• Work closely with operations teams to ensure the final handover of project systems is smooth and well-documented.
• Support on-site training and testing to ensure operational teams are fully prepared for project launch.

Qualifications & Experience
Education
Bachelor's degree in Business Administration, Project Management, or a related field.

Experience
Minimum of 3-5 years of experience in a project management or operational support role, preferably in the construction or entertainment industry.
Language
Proficiency in English and Mandarin is mandatory.
