Job Description
This role is a key player in the overall employee experience journey, regularly interacting with employees to support and address their P&C Services-related requests. The specialist supports and executes standardized processes that are repeatable in nature to support employee onboarding across multiple countries – US & Canada, Poland, India, UK, France, Norway, Denmark, Sweden, Singapore and New Zealand. These activities include, contract and offer letter preparation, background check verification, candidate query management, welcome message and orientation delivery. The hire will be expected to be highly independent and proactive in identifying and implementing positive change and improvements to deliver a great employee experience aligned with our culture.
Your Role Accountabilities…
• Analyze, capture, respond to, and resolve onboarding related requests from employees, managers, and other customers leveraging ServiceNow (SNOW) Case Management.
• Prepare employment contracts/Appointment Letters and manage signature and employee document retention process in a multi country setting
• Manage background check process in accordance with company policy, which varies country by country
• Manage Medical Check per country requirement and store the result in the employee file
• Coordinates with IT to ensure access and provisioning is initiated and also make sure the assets are ready
• Collaborate with the facilities team for ID cards, access and other requirements for the location
• Manages and coordinates pre day 1 email to the candidate and hiring manager emails providing details on the start date
• Manages and facilitates employee welcome email and new hire orientation
• Reviews analyzes and understands data prior to processing, reaching out to HR partners or managers as needed
• Reviews and compares data with system and documentations as a internal audits. Works with stakeholder to identify issues and make corrections to employee data
• Respond to SNOW tickets within appropriate Service Level Agreements set forth by department
• Supports onboarding related to large company-wide activities such as mergers, acquisitions, divestitures
• Review and prep data for mass data loads. Analyze the data for completeness and sensibility before handing over to HRIS team for processing
• Organize and store documents in employee files, ensuring confidentiality and accessibility as needed. Also store paper files for few countries in the employee file room
• Assists in training new team members
• Assist in maintaining accurate and up to date process guides for the NJE Team
• Focus on ongoing process improvements.
• Performs other related duties as assigned.
Qualifications & Experience…
• Experience: Minimum 0-2 years Human Resources administrative or related experience required, preferably from a global shared services environment. Must be able to maintain confidentiality and use confidential information appropriately.
• Education: High School diploma or equivalent experience in related field required.
• Language Requirements: Must be fluent in English, French & Polish. Fluency in other European languages for Polish based roles is a must based on the country support.
• Technical Skills: Experience with Workday HR/payroll or other SaaS payroll and ServiceNow or other case management/knowledgebase tools strongly preferred with ability to quickly learn new technology and software programs. Experience preferred with Outlook, Excel, Word and PowerPoint.
• Relationship Management: Strong relationship skills. Experienced in building and maintaining effective collaborations. Recognized for reliability, integrity, and trustworthiness.
• Process Management: Skilled in process improvements and problem solving, taking initiative to own work projects/tasks. Ability to manage ad hoc high-volume activities in a fast-paced environment independently.
• Organizational Skills: Excellent planning, time management, prioritization, and follow-up skills. Has strong analytical skills and attention to detail.
