- Executive Assistant to General Manager

Your Role Accountabilities
Reporting directly to the GM, the Executive Assistant will play a pivotal role in supporting the successful development, launch, and ongoing operation of Warner Bros. Studio Tour Shanghai – The Making of Harry Potter.
This position requires a proactive, highly organised, and adaptable individual who can anticipate needs, solve problems before they arise, and act as the GM's trusted partner and right hand.
The role will evolve as the project progresses; from supporting the development and pre- opening phases to contributing to the smooth daily running of a world class visitor attraction once operational. The successful candidate will have opportunities to take on projects and responsibilities that expand their skills and scope over time.
The postholder will work closely with the Senior Leadership Team (SLT), internal partners, and external stakeholders, and must demonstrate discretion, sound judgement, and the ability to manage confidential information.
Executive Support
• Manage and prioritise the GM's emails, calls, and correspondence; draft responses based on guidance or available information.
• Prepare letters, reports, documents and presentations; analyse and structure information accurately.
• Provide extensive diary management, scheduling, and prioritisation of daily workload.
• Coordinate internal and external meetings, conferences, and VIP engagements, working across multiple business units and international time zones.
• Arrange comprehensive global travel itineraries, including flights, hotels, transportation, visas, schedules, and related documentation.
• Support SLT members with travel planning where necessary and ensure alignment with GM schedules.
• Attend meetings and take minutes as required.
• Manage reconciliation of expenses for the GM and assist others with this process when needed.
• Serve as a key liaison within the Tour for Executives and visiting officials
Project & Development Support
• Support the GM and SLT with tasks, deliverables, and timelines during the attraction's development phase.
• Coordinate logistics for visits, and meetings involving WB international executives, vendors, and partners in close collaboration with other office administration and support teams.
• Support with organisation of VIP hosting, transportation, accommodation, and special event arrangements.
• Manage ad hoc projects assigned by the GM, with increasing responsibility as the project progresses.
• Proactively identify opportunities to streamline processes and improve efficiency during the pre- opening period.
• Develop systems, support materials, and admin processes that will transition into the operational phase.
Qualifications/Experience
• Minimum 5 years' proven experience as an Executive Assistant supporting senior executives in a fast paced, multinational, or highly matrixed organisation.
• Experience working within the attractions, entertainment, hospitality, or leisure sector is highly beneficial, especially within environments that combine guest experience, operations, and commercial activity.
• Higher level education qualification (minimum 2-year college degree or equivalent). A qualification in Business Administration, Communications, Hospitality Management, or a related field is desirable.
• Professional training or certification in administration, project coordination, or executive support is an advantage.
• Demonstrated experience working in culturally diverse or bilingual environments; proficiency in English and Mandarin to a professional working level.
• High proficiency in Microsoft Office Suite, especially Excel, PowerPoint, Teams, and Outlook, with the ability to prepare complex documents and presentations.
Skills/Knowledge Required
• Proven experience as a Personal/Executive Assistant supporting senior leadership, ideally within an international or bilingual environment.
• Excellent written and verbal communication skills in both English and Chinese (Mandarin).
• Strong organisational skills with the ability to prioritise, multitask, and work under pressure.
• High level of professionalism, discretion, and the ability to handle confidential information.
• Strong relationship building skills with the confidence to liaise at all levels.
• Proactive, solution oriented approach and ability to work independently.
• Strong attention to detail and accuracy.
• Advanced skills in Microsoft Office, particularly Excel and PowerPoint
• Ability to work flexibly, including occasional out of hours requirements

Please note that this position is employed through Warner Bros. Discovery's joint venture with Jin Jiang International (Holdings) Co., Ltd. The joint venture entity is Shanghai WB Jinjiang Studio Tour Co., Ltd. Successful candidates will be hired by the joint venture company and assigned to work with Warner Bros. Discovery as required for this project.
