Your New Role

As a Coordinator, Flex Talent, you will be responsible for ensuring a smooth operation for our program office, including complex schedule management, data entry, meeting support and general administrative support.

Your Role Accountabilities
• Coordinate and schedule appointments, meetings, and events for team members.
• Manage executives' calendars, ensuring efficient use of time and timely attendance to appointments.
• Arrange travel plans, accommodations, and itineraries for team members when necessary.
• Process travel expenses and reconcile receipts in a timely manner.
• Prepare meeting materials, agendas, and take meeting minutes as required.
• Coordinate logistics for meetings, including room setup and catering.
• Assist in the preparation of reports, presentations, and other materials.
• Send weekly packets/materials (including reports, weekly summaries) to senior executives as needed.
• Enter and maintain accurate data in various systems and databases.
• Organize and maintain electronic files in relevant SharePoint sites.

Qualifications & Experience
• 1 year of proven experience in a coordination role with a large company preferred.
• Bachelor's degree preferred.
• Familiarity with vendor management systems (VMS), preferably Beeline, a huge plus.
• Strong organizational skills and attention to detail to effectively manage documentation and data.
• Excellent communication, interpersonal, and customer service skills to interact with stakeholders at all levels.
• Discretion and confidentiality in handling sensitive information.
• Excellent problem solver.
• Ability to handle multiple priorities, work independently, and meet deadlines.
• Strong proficiency in using Microsoft Office Suite (Outlook, SharePoint, Word, Excel, PowerPoint) and other relevant software applications
