The Coordinator, DEI Creative & Production will play a key role in supporting DEI initiatives within the Content & Production strategy. Reporting to the Senior Manager, DEI Creative & Production, the Coordinator will provide vital administrative support, oversee project delivery, and help develop resources and localise resources such as an Inclusive Storytelling guide. In this role, you'll contribute to a range of DEI efforts, including Creative Council initiatives, DEI content learning, policies and procedures, and the localisation and launch of DEI resources internationally. This position is essential in ensuring the smooth daily operations and administration of the International Creative and Production Centre of Excellence.
Your Role Accountabilities…
• Provide ongoing administrative support to the Senior Manager, including end-to-end project delivery and presentation preparation.
• Manage online files relating to C&P work and keep them up to date.
• Schedule and coordinate workstream meetings, considering time zones.
• Where necessary prepare agendas, capture meeting notes, and maintain an organised filing system.
• Maintain and regularly update the project log to ensure accurate tracking of progress and deliverables across DEI initiatives.
• Raise purchase orders, process invoices, and support financial processes.
• Organise translation services for meetings and documentation.
• Upload and share documentation internally.
• Assist with localising and launching local versions of our Inclusive Storytelling site and track metrics related to content advisement requests, training attendance, and any C&P support.
• Budget management to support diversity and inclusion initiatives and partnerships, paying vendors.
• Prepare and manage event or meeting materials and reporting, including regular communication via email, in-person and virtual meetings, as well as post wrap-up communications as needed.
• Manage multiple databases, researching new partners and suppliers.
• Work collaboratively across WBD's DEI network to share resources, templates, and collaborative platforms to increase collaboration and optimisation of team priorities, including tracking of productions across the enterprise to increase return on investment.
• Leverage, assess, and utilise new technology, media, and partnerships to increase scale for local, regional, and global DEI content awareness.
Qualifications & Experience…
• Solutions-oriented mindset, ability to multi-task and manage multiple projects with varying deadlines.
• Admin Support: WordPress, Office management (calendars, expense management, etc.); Microsoft Office: Outlook, Excel (intermediate), SharePoint, PowerPoint, Word; communications planning, budget and expense management, Salesforce, Airtable a plus.
• High attention to detail, strong communication skills, sel-motivated, understands the importance of confidentiality, effective time and project management.
• Excellent organisational skills with the ability to prioritise tasks.
• Self-motivated, enthusiastic, and capable of working independently.
• Flexibility to adapt to changing business environments.
• Ability to maintain confidentiality.
• Personable, flexible, thinks outside of the box, high attention to detail.
• Ability to manage multiple projects and deadlines, someone who remains calm under pressure and is solutions oriented.
• Someone who isn't afraid to ask questions, works well on a team, has a sense of urgency, time management, and/or prioritisation.
• Proficiency in MS Word, Excel, PowerPoint.
Hybrid Working - This role is advertised as a Hybrid work model, that combines remote and in-office work, following our current company policy and to be agreed with your Line Manager. Subject to any applicable laws, WBD / your Line Manager reserves the right to change this working agreement where this is essential to business needs and upon reasonable notice to you.
