Job Description
The Senior HR Generalist will be the point of contact and subject matter expert on all HR operational requirements and enquiries within VICE JAX. This role is responsible for support with regard to tactical and operational people related matters such as payroll management, work permits/vosa applications, HR administration/paperwork and employee life cycle management. Sound knowledge in employment & immigration law & regulations of the Middle East - specifically Saudi Arabia, is a critical element to be successful in this role.VICE Jax is a joint venture between VICE and a large Middle East media partner. VICE Jax's primary directive is to create a leading platform for quality digital Arabic content centred on modern Arab youth culture anchored in Saudi Arabia. The expectation of this role and others connected with VICE Jax is that you will work on the VICE JAX project as well as other VICE Media lines of business including VICE and Virtue (VICE's creative agency) projects throughout the Middle East and Africa.
ROLES AND RESPONSIBILITIES
The successful candidate will bring functional and operational experience, and will work to align local culture nuances with our global company culture.
Specifically:
• Support higher level Business Partners and/or Senior HRBP with implementation of general HR activities and initiatives.
• Advise employees and managers regarding standard/less-complex HR related matters.
• Maintain and prepare HR related information and paperwork for reporting and decision making
• Process new hire paperwork; guide employees through orientation.
• Maintain employee database, records and applicant tracking database
• Monitor visa expiry and FTC/ contingent worker end dates liaising with the relevant HR colleagues and/or Line Managers.
• Manage benefits administration tasks for Employees.
• Issuing ad hoc letters, visa, reference letters and certificate of employment.
• Review HR procedures, processes and may suggest potential improvements.
• Research and monitor the HR needs of the business and escalate findings to higher level Business Managers and Senior HRBP.
• Stay up to date on all general labour law compliance and risk issues - ensuring adequate guidance is provided to managers and employees.
• Respond to payroll, work visas queries timely and in a way that aligns with our values.
• Manage and analyse our payroll data to ensure accuracy and provide key information to other teams in the business (eg. Finance).
• Update procedure manual and process flow chart documentation/checklists as required.
• Maintain payroll calendar, ensuring deadlines are met on time, every time.
• Check payroll integrations have been processed successfully by our Payroll Provider ADP for starters, leavers, permanent/variable changes, and absence.
• Prepare ad-hoc variable data for submission via the agreed templates, ensuring accuracy.
• Contributes to team effort by accomplishing any other ad-hoc HR projects / tasks as assigned.
• Work in close partnership with the wider HRBP and Legal team of Vice Media Group to work through delicate employee and/or union-related matters swiftly and thoroughly.
QUALIFICATIONS
• Minimum of 3 to 5 years of professional HR operations in a Generalist role.
• Positive and highly self motivated with strong work ethic and the utmost integrity.
• Outstanding interpersonal skills (EQ) and ability to work with empathy.
• Highly detail oriented, self resourceful and creative mindset.
• Proven record of being a good team player and in exhibiting partnership and stakeholder management.
• Ability to problem solve and possess basic decision-making skills with understanding of employee relationships.
• Solid Time & Task management and prioritisation skills.
• Must be fluent in English and Arabic, both written and verbal.
• Ability to multi-task and adapt to a fast paced environment.
• Accustomed to working in a matrixed environment.
• Experience with unions is an added advantage.
LOCATION
** Temporary location for this role can be between UAE and KSA but the candidate will eventually be expected to be located in Riyadh where VICE's Arabia HQ will be located.
