Job Description
Reporting to Director, Marketing Operations, the Coordinator is responsible for working collaboratively with divisions across ViacomCBS to help ensure timely execution of high-profile marketing initiatives, and supporting the Cross Company Marketing team! The ViacomCBS Cross Company Marketing team is responsible for driving alignment across the organization in support of priority initiatives. The Coordinator will work across teams to help gather assets, maintain documentation for tracking and status reporting, support schedule & timeline creation, asset sharing and delivery, lead clearance processes, and provide general administrative support to the team, as needed! The Coordinator will be anticipated to work proactively and independently while using a variety of project management styles and tools.

General Responsibilities:
• Assist in creating and distributing status updates/reports through various channels such as Google Drive, Slack, and email distribution lists
• Help maintain critical cross-company marketing team documents that include campaign timelines, briefs, marketing plans, delivery info, and tactics
• Work closely with Cross Company team members to help identify and set landmark dates for various timely deliverables, and flag any timely deliverables as needed
• Coordinate scheduling meetings for projects, including briefings, brainstorms, status meetings, etc., and help set agenda
• Take detailed meeting notes and send recaps of concrete items to stakeholders following each meeting
• Track, gather, and traffic priority promos for owned placements; which include cable networks, national broadcast, affiliates, digital, outdoor, audio, and YouTube live streams
• Coordinate delivery of home page takeovers and motion graphics; facilitating communication between producing group and trafficking departments
• Ensure marketing campaigns are being fulfilled as planned
• Pull cost reports from SAP, track spending against initiatives, and facilitate intercompany bill backs as needed
• Identify and help implement new processes to further collaboration and efficiencies

Basic Qualifications:
• Bachelor's Degree
• Minimum 1-2 years of project management or production experience (strong internship experience considered)

Additional Qualifications:
• Proven organized self-starter able to juggle multiple tasks thoughtfully
• Excellent written and verbal communication and diplomacy skills
• Able to assess and improve workflows and processes
• Familiarity with Google Drive, SAP, Slack, Microsoft Office 365
• Excellent problem-solving and anticipation skills
• Ability to operate quickly and calmly within a large, matrixed organization
• Remain cool in a fast-paced, dynamic environment, while setting and maintaining key priorities
• A positive, can-do attitude
• Experience in entertainment a plus
• Familiarity with On-Air Promos a plus
