Lava Records is looking for a motivated individual to fulfil the role of Admin Assistant / A&R Coordinator, reporting to multiple executives. This candidate must be efficient and detail-oriented, and he/she must be able to multitask and work on tight deadlines in a high-pressure environment. The ideal candidate will possess strong administrative and organizational skills, and he/she must possess a high level of integrity and discretion in handling confidential information and professionalism in dealing with senior professionals inside and outside the company. A passion for music and a ''can-do'' attitude is essential.
How you'll CREATE:
• Maintaining high-demand schedules and calendars; ensures Executives stay on schedule
• Extensive travel and meeting coordination
• Track expenses and submit bi-monthly expense reports in a timely and accurate manner
• Archive emails and maintain electronic folders
• Execute mailings
• Ensure that all guests are accommodated
• Setting up meetings/conference calls
• Exercise discretion when patching calls, rolling calls, and interrupting meetings
• Assist in all business-related activities
• Coordinate operational logistics with regards to Lava's recording process and releases
• Book travel for Lava artists
• Work with A&R Admin on recording budgets and outgoing payments
• Secure talent release forms and union paperwork from all track participants for each release
• Gather, review, and submit track credits for each release
• Generate session reports and work with external managers to execute producer signatures
• Work with internal departments to clear side artists, samples, and/or interpolations
• Represent Lava at weekly production and clearance meetings
• Assist in coordinating all A&R Admin related requirements as they come up
• Additional duties as assigned
Bring your VIBE:
• Bachelor's Degree required
• 0-1 years of experience in Entertainment industry
• Ability to interact comfortably and effectively with employees of the company at all levels including Executive Management
• Ability to interact comfortably and effectively with external partners and clients
• Possess strong attention to detail, problem solving and organizational skills
• Advanced Microsoft Office skills including Outlook, Excel, and PowerPoint required
• Proactive in determining roadblocks
• Must have excellent verbal and written communication skills
• Ability to work under high pressure and speed
• Must have the ability to build collaborative relationships
• Ability to keep information highly confidential
• Flexible and able to multi-task
• Team player, self-starter
