THE ROLE

We are looking for an organized, detail-oriented, strategic, strong communicator to join the School of Live team based in Beverly Hills, CA. This role supports program operations and carries out administrative duties to support School of Live's development, internship, and apprenticeship programs.

WHAT THIS ROLE WILL DO:
• Assist with logistics and operations for event travel and in-person programs, this includes onsite support with prep, set-up, and day-of event support.
• Distribute surveys to candidates, participants, and guest speakers to collect feedback on their experience; aggregate responses and share with leadership.
• Acts as administrator for all School of Live guest speaker details, logs, information, briefing documents, and any other necessary materials.
• Assemble and format briefing documents for guest speakers, communicate effectively, and manage logistics necessary to successfully host guests of School of Live.
• Partner with divisional leadership and hiring managers to understand and make placement recommendations for open internship and apprenticeship opportunities.
• Coordinate the placement of qualified candidates for internship and/or apprenticeship roles, or other relevant School of Live programs.
• Maintain an inventory of relevant open roles and opportunities and share them with relevant partners like the School of Live Career Coaches.
• Work with School of Live team to identify and schedule guest speakers for various programs.
• Manage all records associated with program participants and develop an organized archival system accessible to relevant School of Live team members.
• Communicate effectively, kindly, and in a timely manner with external candidates, internal employees, guest speakers, etc. ensuring a positive experience.

WHAT THIS PERSON WILL BRING
• Bachelor's degree in related field is preferred, or equivalent
• 2+ years of work experience in event production, project management, recruiting, as an executive assistant, or in a related field
• Great verbal and written communication skills, interpersonal skills, and strong organizational skills (attention to details).
• Ability to be both strategic and operational in a fast-paced, dynamic work environment and the ability to prioritize multiple functions and tasks.
• Project management experience, specifically managing detailed projects with multiple points of contact and stakeholders
• Capable of maintaining a positive attitude through challenging situations. Holds a passion for supporting employees and candidates at scale with a service mindset
• Experience working with and communicating to many different levels and departments in the organization
• Resourceful, able to problem solve, support with candidate Q/A, and navigate uncertainty to find solutions
• Advanced Microsoft Office/Suite proficiency (Excel, PowerPoint, Word, etc.)
• Working knowledge of HRIS systems and/or able to learn new software technology quickly
