Job Description

The Executive Assistant would report to the EVP of Programming and Content Development and provide administrative support to the Entertainment Department.

Responsibilities:
• Provide general administrative support to staff to include correspondence, telephone coverage, preparing and maintaining charts, calendar activities, expense report preparation, travel arrangements, meeting preparation, supply ordering, shipping, filing, organization of legal files and scheduling of training activities.
• Assist in the organization of lunches, corporate training, and continuing legal education and employee events.
• Track expenses, including processing invoices, and follow-up.
• Perform special projects as directed.
• Determine importance of meeting requests and schedule accordingly
• Arrange travel and all accommodations including comprehensive and detailed itineraries.
• Act as a liaison with all internal and external clients/departments.
• Manage special projects as designated, specifically, dealing with administrative and coordination issues.
• Assist with internal communications with staff as well as communications with clients.
• Coordinate staff meetings, conferences and client meetings as necessary
• Manage various department responsibilities such as renewing memberships, subscriptions, and maintaining office supplies.
• Plan/coordinate various social events in conjunction with internal departments.
• Works under the direct supervision of EVP and is responsible for completing any other tasks as assigned by supervisor

Qualifications

Basic Requirements:
• Bachelor's degree and a minimum of 2 years of prior administrative experience, at executive assistant or comparable level, or an equivalent combination of education and experience.
• Excellent computer skills and proficiency with all Microsoft Office applications
• Exhibits strong documentary organizational skills
• Fully bilingual: ability to read, write and speak clearly in English and Spanish
• Demonstrated ability to multitask in a fast paced, dead-line driven environment
• Demonstrated ability using discretionary judgment in the handling of written correspondence and written/verbal communications
• Strong executive presence, presentation and communication skills
• Strong organizational skills and the ability to manage electronic filing systems
• Demonstrated ability to maintain a high level of confidentiality

Additional Requirements:
• Willingness to work flexible hours including late and/or last-minute scheduling changes in a 24/7 production work environment
• Must be willing to work in the greater Miami, Florida area
• Must be 18 years or older
• Must have a valid driver's license
• Must have unrestricted work authorization to work in the United States
• Must be covered by Solutions, NBCU's Alternative Dispute Resolution Program
