POSITION OVERVIEW

The Benefits Administrator manages all aspects of employee benefits, the wellness plan, and workers compensation for the Sundance Institute. Playing a critical role in creating healthy and positive employee resources, our Benefits Administrator is also charged with conducting research and reviewing benchmarks to ensure the most inclusive and comprehensive employee benefit and wellness plans.

Working closely under the Assistant Director, Human Resources & Administration, the Benefits Administrator is also a primary Human Resources Information System (HRIS) administrator and facilitates employee leaves of absence. This position is open to being remote or based out of one of our 3 office locations: New York, NY, Los Angeles, CA, or Park City, UT. This full-time position will be required to work extended hours, including evenings and weekends at key points throughout the year. Travel to other Institute offices and events may be required.

Top priorities include but are not limited to…
• Researching and analyzing benefit plans and wellness initiatives for industry trends, benchmarking data, and effectiveness to ensure alignment with the organization’s mission, vision, and values to increase employee retention.
• Designing and recommending benefit plan changes, distributing materials for benefit orientations, open enrollment and Summary Plan Descriptions (SPDs), and developing content with the Institute’s insurance broker.
• Analyzing administrative costs and preparing budgetary forecasts to recommend changes to ensure efficiency and savings, including alternative methods for administration and funding.
• Working directly with the organization’s HRIS (ADP Workforce Now), benefit providers, and the Finance department to ensure accurate billing and payment processing, including review, reconciling, and applying budget coding for monthly employee insurance bills to be processed through ADP.
• Managing open enrollment meetings, partnering with brokers on scheduling, and facilitating on-site and/or virtual meetings.
• Managing plan terminations, Consolidated Omnibus Budget Reconciliation Act (COBRA), short-term and long-term disability applications, loans, distributions, and more.
• Providing ongoing customer support and communication to employees in regards to benefits, including developing and facilitating training to increase employee benefit package comprehension.
• Managing Affordable Care Act (ACA) compliance including monitoring measurement period, timely enrollment of newly eligible employees, and annual Internal Revenue Service (IRS) reporting and distribution of tax forms.
• Developing, implementing, and maintaining wellness initiatives.
• Handling the full federal and state leave administration process.
• Maintaining the internal work injury/incident reporting process, investigating matters as necessary and communicating with workers compensation insurers to report all cases.
• Managing, updating, and filing Occupational Safety and Health Administration (OSHA) logs of injuries/incidents recorded with each calendar year to meet federal and state regulations.
• Documenting and maintaining administrative procedures for all benefit-related processes.
• Supporting the team in uploading new and rehire paperwork into HRIS prior to payroll deadlines.
• Managing unemployment insurance verifications, notices, and appeals for departed employees.
• Maintaining online accounts with state unemployment insurance departments.
• Working across the organization to create and deliver effective benefits related, supervisory, and health and safety training content, presentations, and coaching to meet employee and organizational needs.

You have the following direct or transferable skill sets:
• Legal authorization to work in the United States.
• 3 years experience administering employee benefits, leaves, and wellness programs.
• Strong consultation, presentation, meeting design, and facilitation skills.
• Experience developing and facilitating training, and comfortability presenting and training in front of large groups.
• Demonstrated knowledge of benefit and wellness best practices.
• Strong interpersonal and communication skills to build and maintain trust and strong relationships with employees at all levels and external vendors in order to drive results.
• Professional in Human Resources (PHR) or equivalent certification preferred.
• Knowledge of ADP Workforce Now preferred.

• Successfully manage several complex projects simultaneously while working under pressure to meet deadlines.
• Continually research new benefit and wellness programs to design quality benefit plans and improve efficiency while ensuring our plans meet the needs of our employee population.
• Utilize data (internal demographics, routine surveys, etc) to recommend benefit plan changes and new offerings that would best serve our employees.
• Ensure a robust and effective employee onboarding program, partnering with HR recruiters to continually refine and assess its effectiveness.
