Job Description
We are looking for a Senior Office Coordinator to join our Global Workplace Services Team.

The GWS team focuses on the global expansion and support of our rapidly growing business. We build spaces and provide services that bring Spotify's culture and values to life - from crafting thoughtful spaces for our employees to thrive, to delivering innovative services that make Spotify a phenomenal place to work. GWS covers all aspects and the full life cycle of our buildings and consists of Real Estate, Design & Build, Facility Management, GWS Enablement & Community, Workplace IT, Business Protection, GWS Performance & PMO and Travel.

In this role, you will assist the Senior Facilities Manager of the Americas region, one of five regions within our Global Facility Management organization. The scope of this role includes employee experience, budget forecasting, vendor management and special projects. In order for GWS to deliver these services to our offices and end-users, there is a tight partnership with several internal teams as well as vendors.

You will report to the Senior Facilities Manager, Americas.

What you'll do
• Manage and own the process of floor plans, headcount and stacking plans that will require heavy collaboration with various teams to understand space requirements.
• Ensure that we meet the aggressive business needs to deliver phenomenal experiences for Spotifier's and guests.
• Develops and implements strategies to improve employee engagement and happiness.
• Collaborate with cross-functional teams to find opportunities for improvement in the workplace experience and develop action plans to address them.
• Oversee core week coordination and major events in the NYC office.
• Manage Food & Beverage program in NYC office.
• Staying informed about industry trends and standard processes in workplace experience and recommends innovative ideas to continuously improve our offerings.
• Frequently audit and ensure FM work tickets are being resolved and closed in a timely manner.
• Update and maintain NYC office page in GWS Portal.
• Coordinate office moves when vital.
• COI management and heavy coordination with the building to schedule deliveries, vendor approval, freight elevator access and loading dock reservations.
• Maintain and improve ways of working and processes for the function, making sure we continuously improve our performance
• Handle storage spaces throughout the office.
• Lead sustainability initiatives in our NYC office and collaborate with the greater GWS team for global approach.
• Ensure vendors in scope are being handled and that internal and external SLAs are being met.
• Draft and send frequent office wide communications.
• Establish and follow routines for budgeting, forecasting, and cost follow-up
• Balance the needs and wants of collaborators with long term planning to optimize utilization of spaces in both a long term and short term perspective
• Support Senior Facilities Manager on special projects as needed.

Who you are
• You have a minimum of 5 years' experience in hospitality, facilities management, or workplace experience.
• Experience working in a New York City unionized building.
• Knowledge of New York City building codes and regulations to ensure adherence to local ordinances and standards.
• You have the ability to optimally respond to sensitive issues, sophisticated inquiries or complaints from employees with a solution oriented approach and a hospitality mentality.
• You are comfortable engaging with key partners.
• You are excited by delivering innovative and user-relevant solutions.
• You are not afraid of making mistakes to move the business forward.

The United States base range for this position is $90,718 - 113, 397 plus equity. The benefits available for this position include health insurance, six month paid parental leave, 401(k) retirement plan, monthly meal allowance, 23 paid days off, 13 paid flexible holidays, paid sick leave. These ranges may be modified in the future.
