Job Description
We are seeking a Production Coordinator to join our Global Experiential and Content Production (GECP) team to oversee day-to-day organization and communication and lead administrative duties across our co-branded experiences workstreams in support of Spotify AUX and the wider GECP team. You will play an active role in helping to bring the experiences we bring to life and will use broad exposure to the larger Spotify organization paired with an agile problem-solving mentality to help us work better and faster.

You will become familiar with Spotify and the GECP team's business priorities and how they ladder up to Spotify AUX and wider company objectives, as well as how to create understanding and connectivity within the team and the broader company. You will need to be comfortable navigating ambiguity, to have a solid understanding of production and the pre-production process, and be the person who helps clarity and drive momentum. You will establish and socialize processes to iterate and improve on what and how we deliver.

This position will report into the Global Associate Director, Experiential & Content Production and is a full-time position, eligible for overtime

What You'll Do
• Work closely with the team's Global Associate Director to help effectively handle priority projects and both the day-to-day and long-term operations of the AUX and support the wider GECP team as directed.
• Act as the coordinator to the AUX Lead and support AUX/GECP team administrative needs; this may include preparing materials for important meetings, drafting communications, assembling updates, creating of presentations or pitch decks, creating team briefs, etc as guided by the GECP AUX Lead.
• Project lead key initiatives for major productions that ladder up to team objectives, collaborating extensively across the business, and external partners
• Manage the AUX calendar of deliverables and initiatives and facilitate regular team touchpoints as directed by the GECP AUX Lead
• Organize and facilitate team meetings, as well as cross-functional project team meetings, kick-offs, post-mortems, and meetings with leadership
• Manage monthly reporting and tracking of AUX production budgets, and assist in our invoicing process and supplier payments, supplier onboarding, statements of work, and contracts, collaborating closely with GECP producers, our FP&A and Legal partners
• Have a good understanding of production (for both content and experiential)in order to be able to support onboarding of new vendors and partners
• Build and manage project timelines, ensure key deadlines are being met, and facilitate leadership reviews and approval processes as directed by the GECP AUX Lead
• Support onsite needs of events in pre-production and production as needed

Who You Are
• You have 2+ years of experience in business operations and/or project management; direct experience in event, content, and concert show production is preferred
• You have strong understanding of the pace, ways of working, and needs of the production industry
• You understand the unique and detailed oriented needs of client management
• You have experience managing a busy calendar, arranging meetings and managing travel
• Previous experience advancing and managing client, exec and/or talent hospitality needs
• You are used to researching and working directly with vendors to manage onboarding, organize schedules, and all production needs
• You are a proactive problem solver – simply put, you get things done fast and well and are a master at prioritizing
• You thrive in a fast paced environment and create clarity and focus amidst chaos and ambiguity
• Most organized person you know – if you do not find joy in logistics, this role is not for you
• Wizard in excel, working in google suite, and most importantly preparing power point/google slides presentations
• You are a critical, strategic and tactical problem solver with the ability to visualize and realize intricately planned objectives
• Efficient time manager, ensuring work is done effectively and on time.
• You have strong budget management skills able to assist in reconciliation and profitability tracking
• You have experience building strong relationships with external and internal partners and have top notch collaborator management skills
• You are an expert communicator – you write well and have a curiosity about synthesizing and communicating information to different level of partners
• You aren't afraid to jump in on all kinds of challenges – there is no work too big or too small
• You are a teammate who can work autonomously while thinking globally and working locally

Where You'll Be
• This role is based in New York, NY
• We offer you the flexibility to work where you work best! There will be some in person meetings, but still allows for flexibility to work from home. We ask that you come into the office 2-3 days per week.
• This role will have minimal travel requirements (less than 10%) domestically and internationally.

The United States base range for this position is $63,372.00-79,215.0plus equity. The benefits available for this position include health insurance, six month paid parental leave, 401(k) retirement plan, 23 paid days off, 13 paid flexible holidays, paid sick leave. This range encompasses multiple levels. Leveling is determined during the interview process. Placement in a level depends on relevant work history and interview performance.
