Job Description
Sesame Workshop is seeking a Production Coordinator in the Production Management Department. This position reports to the Line Producers/Production Managers and supports the daily operations of the Production Management Department. This role will focus on all aspects of the production lifecycle from pre thru post-production. The Production Coordinator will be responsible for ensuring the smooth operations of this department with a clear understanding of media-based production workflow and media-based production support divisions. The candidate must understand contract/invoice processing, media-based unions and guilds and day-to-day in-person production needs both operational and budgetary.

The right candidate will be highly organized and skilled with technology and passionate about Sesame Workshop's mission.

JOB RESPONSIBILITIES:
• Administrative duties such as filing, scheduling meetings, calendar management, document routing (e-docs familiarity a plus), scanning, note-taking, expense report preparation
• Generate and track all contract requests. Responsible for the data entry, tracking and payment of all contract requests (payroll, independent contractors, short and long term, deal memos, all unions) to ensure timely completion
• Reconcile final legal contracts to the submissions in the contract request system (Nintex)
• Invoice management (coding, processing, and e-filing)
• Budget code management
• Liaison between Production Management and Project Producers/Managers, Legal and Finance regarding payment/nonpayment inquiries
• Troubleshoot all contract payments and payroll inquiries
• Create and maintain digital ''Wrap'' binders for either internal use or when required by our distribution partners
• Assists with start paperwork for cast and crew
• Provide physical on set support for all shoots
• Hire, train, and supervise production assistants and transportation personnel
• Coordinate moves to and from studios and inter-office moves
• Obtain building and new hire id passes
• Liaison with Sesame Tech Support for all computer needs
• Set up/break down the studio space. Set up office space at the studio by activating phones, configuring furniture, ordering/organizing office, first aid and mail supplies, etc.
• Responsible for all studio and in-office catering/craft service
• Manage catering, office supply and shipping line-item budgets
• Maintain premiums supply
• Create contact sheets and telephone extension lists
• Assists with call sheets as needed
• Manage daily production petty cash
• Troubleshoot daily office tech issues (photocopier, printer, etc.)
• Book travel arrangements as directed
• Basic Budget data entry as directed
• Excel charts as directed
• Support the Production Management team as needed

REQUIRED SKILLS AND EXPERIENCE:
• Bachelor's degree in Television/Film/Media Production, Project Management or a related field or equivalent experience
• 1-2 years of experience in Live-Action Physical Production in a Production Management environment
• Experience with logistics of physical live-action production required
• Excellent communication, problem-solving and organizational skills
• Ability to work under tight deadlines and occasionally outside of typical working hours
• Must thrive in a collaborative environment
• Capacity to work across multiple projects
• Knowledge of Cast and Crew Payroll/Accounting and Movie Magic budgeting tool
• Knowledge of Guild/IATSE agreements
• Expert knowledge of production workflow systems such as Air Table, Synchronize and/or Box
• Proficient in Excel, Word, and Adobe sign
• Must be able to schedule meetings via Teams and Zoom
