Job Description
Sesame Workshop is looking for an Administrative Assistant, Individual Giving. The Assistant, Philanthropic Development Operations, assists in the ongoing operations of Sesame Workshop's Philanthropic Development team, with a specific focus on managing Sesame Workshop's donor information systems to ensure that all donor records are complete and accurate, and all gift data is recorded accurately and timely. This position reports to the VP, Philanthropic Development Operations and Individual Giving. This position works very closely with Sesame Workshop's finance department and serves as the key point of contact for reconciliation of all contributions.
Responsibilities
• Generate accurate financial and analytical reports, develop and implement policies to guide gift entry, and ensure that the database effectively captures donor gift information.
• Assist the Moves Management process, ensuring strategic engagement and advancement of donors through meticulous tracking and management.
• Database upkeep, quality control and maintenance, including but not limited to inputting constituent feedback, identifying duplicates, and merging records.
• Work with the finance team to ensure all gifts and payments are recorded and reconciled to the General Ledger accurately and completely.
• Accurately enter offline and online gifts into the database, ensuring proper allocation and acknowledgment.
• Provide support for Philanthropic Development event planning, including but not limited to an annual virtual fundraising event and benefit fulfillment as needed.
• Serve as a point of first contact for donors, managing the Individual Giving email and voicemail inboxes.
• Provide general office administrative support including ordering office supplies and processing invoices. Provide intra-departmental support as necessary.
Qualifications
• B.A. or B.S. Degree or equivalent experience
• Knowledge of gift processing and data management best practices
• Experience with CRM systems, preferably Salesforce
• Working knowledge of MS Office (Outlook, Word, Excel)
• Knowledge of nonprofit finance conventions
• Strong attention to detail and commitment to accuracy
• Ability to manage multiple tasks and prioritize effectively
