We are seeking a talented and dynamic Senior Administrative Assistant to join our team! T he ideal candidate will hold the expertise and skills needed to support the leaders of the Venue Operations and Inclusive Engagement departments, providing exceptional administrative support, and drive structured processes and while maintaining flexibility. This new team member will be adept at solving problems as they arise, proactive in their communication and maintain a high a ttention to detail at all times.

Responsibilities
• Provide day-to-day administrative support, as it relates to calendar management, travel accommodations, and necessary correspondence.
• Plan, organize, and schedule internal and external meetings; coordinate, set up, and deliver materials (i.e. agendas, handouts, etc.), food, and/or other supplies necessary for the successful execution of key meetings, and special events.
• Plan, organize, and prepare communications and materials for meetings as directed, and follow-up with action items. Act as a liaison for communications, working in partnership with SS&E executives and shared services teams.
• Own invoice (and expense) processing, and vendor relationships aligned with the business units assigned to support.
• Provide support for, and assist in Venue special projects with internal and external stakeholders. Projects may include but not limited to; contract tracking, compiling event information, and concert back of house experience execution.
• Provide support for, and assist in Inclusive Engagement special projects with internal and external stakeholders. Projects may include but not limited to; event planning, compiling community event information, and research.
• Act as the point of contact for all Venue Operations office needs, collaborating with key stakeholders within the office. This includes seating assignments, office décor, breakroom needs/coordination and communication of company policies for the space. Participate in the development of team building activities, surprise and delight moments, etc.
• Act as the point of contact for many Inclusive Engagement office needs, collaborating with key stakeholders within the office and in community. This includes coordination and communication of external/internal community engagement opportunities. Participate in the development of team building activities, surprise and delight moments, etc.
• Other Duties as assigned.
Qualifications
• High School diploma or GED
• 3+ years experience at the executive administrative support level, corporate and nonprofit experience is preferred.
• Excellent written and verbal communication skills and ability to distribute information.
• Must be highly organized and able to exercise professional initiative and good judgment in prioritizing work and balancing multiple tasks and support multiple high level positions.
• Proven ability to handle confidential information, be adaptable to various competing demands, and demonstrate the a high level of customer service.
• Demonstrate poise, tact and diplomacy. Values input from members within organization as well as wider community leaders.
• A willingness to work irregular and extended hours and maintain a flexible work schedule as needed.
• Must be able to work and navigate in an arena setting.
• Ability to lift/push/pull 50 lbs on a regular basis
• Ability to spend time 50% or more time in office as required by business needs and executive schedules
• Proficient in Microsoft Office, Excel, Word, Power Point and other computer skills required.
