The Penguin Random House Speakers Bureau represents world-class authors, leaders, and thinkers and works to secure paid speaking engagements for its roster at universities, libraries, corporations, conferences, and literary series worldwide. We are currently seeking a Speakers Bureau Assistant to join the Random House division of the Speakers Bureau department.

The Penguin Random House Speaker's Bureau represents a wide variety of authors, including award-winning and bestselling authors like Dr. Ibram X. Kendi, Dr. Mona Hanna-Attisha, Ta-Nehisi Coates, and novelists like Gary Shteyngart.

This position provides tremendous growth potential and affords an opportunity to work with some of our most popular house authors . The Assistant will provide general support to the RHPG Speakers Bureau team, while reporting to the Agent Director.

The Role:
• Support Agent Director with event coordination, including booking travel, coordinating with sponsor, speaker, and in-house travel agencies, and creating and updating detailed speaker itineraries.
• Liaise with speakers and venues on logistical details.
• Maintain and update database including contact management, event details, and finances in coordination with the Speakers Bureau finance team.
• Manages contracts, contract amendments, and reimbursement process for Speaker at each event.
• Respond to general speaker inquiries from potential sponsors by email and phone.
• Aid the Speakers Bureau marketing team with creating content for the PRHSB website and social media channels, including drafting and updating speaker profiles and monitoring speaker news alerts.
• Execute departmental mailings and pitches to promote speakers to potential sponsors.
• Work closely with Speakers Bureau staff cross-divisionally.
• Attend company meetings to identify potential speakers as well as local speaking events when applicable.
• Provide administrative support for the department.

The Essentials:
• Interest in the logistical aspects of event planning, working with a wide array of people and personalities and reaching audiences at live events
• Ability to adapt to all communication styles on both email and phone and keep an inviting and can-do demeanor when collaborating with external and internal stakeholders.
• A self-starter fluent in multi-tasking with impeccable attention to detail and efficient organizational skills
• A diplomatic approach to negotiations
• Proactive approach working in a rapidly changing, fast-paced environment, especially when prioritizing tasks and managing competing deadlines
• Excellent research and problem-solving skills
• Proficient in MS Office, particularly MS Outlook and Excel, as well as video conferencing platforms, such as Zoom and Webex
