The Essentials:
The Publishing Assistant provides administrative support to the imprint, reporting to the Publisher and Executive Editor, all while coordinating with various departments in the division, agents, authors, and illustrators. In doing so, you'll need to be comfortable with a rapidly changing agenda and your ability to prioritize and maintain attention to detail will be key.
With this in mind, to be successful in this role we feel that you'll need:
• Great organizational skills to navigate a high-volume environment
• Clear and effective communications skills, especially as you liaise remotely across multiple teams
• Strong ability to prioritize your work and calendar independently
• Strong ability to manage competing and changing priorities
• Evidenced ability to manage communication and workflow in a proactive manner
• An interest in the current children's literature market
Responsibilities and duties:
• Assist the imprint with daily administrative and clerical tasks, such as:
• Serve as the administrative liaison for the imprint when interfacing with other departments to set up meetings, share requested materials, and print materials for meetings
• Schedule recurring imprint meetings
• Prepare departmental PowerPoint presentations
• Support with invoices and contracts
• Update and maintain department contacts' information
• Register books with the Library of Congress
• Mail author copies
• Keep track of Kokila reviews and awards
• Update online metadata
• Submit paperback transmittal forms
• Organize submissions sent to Kokila through PYR's Emerging Voices program, which adds inclusivity to our submission process
• Coordinate and send out the Kokila creator newsletter
• Assist with imprint Instagram and Twitter accounts, which includes scheduling posts and writing copy
• Occasional editorial tasks, like drafting descriptive text about our books and researching competitor titles across various platforms and current trends
• Support the Publisher with daily administrative and clerical tasks, such as:
• Manage Publisher calendar
• File Publisher expenses
The salary for this position is $48,000. All positions are currently eligible for annual profit award or bonus, subject to Company results.
