Publicity Assistant – Putnam

The Putnam imprint at Penguin Random House is seeking a Publicity Assistant to support the VP, Director of Publicity and the Associate Director of Publicity. This role is tasked with organizing the logistics for a wide array of publicity campaigns and performing general administrative duties on title campaigns as well as for the entire publicity department.

The Publicity Assistant will work with a wide array of adult fiction and nonfiction authors, including Lisa Scottoline, Megan Abbott, C.J. Box, Karen Joy Fowler, Kate Winkler Dawson, Alma Katsu, David Yoon, Stuart Woods, and many others and is the ideal position for someone who is interested in learning how to manage publicity for high profile authors and to see the publishing process from start to finish.

Specific responsibilities include:
• Coordinates detailed tour and media schedules for book campaigns
• Performs online research for publicity contacts and maintains media lists. Also performs online research ahead of author meetings
• Coordinates travel and other logistical arrangements for major author tours
• Responds to a variety of calls from media, authors, and booksellers and communicates between related in-house departments.
• Proactively gives feedback and updates on projects
• Coordinating and executing review copy mailings.
• Liaises with bookstores for author events as well as attends local author events when possible and facilitates on virtual author events when required
• Creates press materials, such as press releases, pitch letters, and sample Q&As
• Attends and participates in virtual meetings with colleagues and authors when necessary
• Processes invoices and maintains title budgets on supervisor's campaigns, and assists in organizing the overall departmental budget
• Provides administrative support to supervisor (i.e. drafts letters, answers phones, takes messages, photocopies, files, expenses, etc.)
• Assisting the coordination of logistics for meetings, including coordinating calendar schedules, booking virtual space on Microsoft Teams or Zoom, preparing meeting materials, and taking notes.
• Gathers and organizes press clips and tracks publishing coverage in the media

With this in mind, to be successful in this role we feel that you'll need to have:
• Strong interest in book publishing and publicity with a strong interest in books
• Comfort working in a remote work environment if necessary
• Familiarity with media, news, and online organizations, in particular those that regularly feature books and authors
• Excellent written and verbal communication and interpersonal skills
• Ability to multi-task and prioritize in a deadline driven environment
• Strong organizational skills and attention to detail
• Strong follow-up skills
• Proficiency with Microsoft Word, Outlook and Excel
• Proficiency in Zoom, Zoom Webinar, Skype, and other online platforms
