Executive Assistant, Publishing Operations, IT & Services, Penguin Random House
The Publishing Operations, Technology, and Services department at Penguin Random House seeks an Executive Assistant to support the office of the group President and execute the day-to-day organizational and administrative management at Penguin Random House. Reporting to the President, the Executive Assistant will support the goals of a busy and collaborative executive team responsible for all publishing operations, IT, and services in the organization.

This experienced, detail-oriented Executive Assistant will build successful working relationships and work closely with our Leadership team: Bookmaking, Publishing Operations, IT, PRH Publisher Services, Strategic Projects, and Zeitgeist. Will be an excellent communicator and a self-motivated person with proven success at execution. Joining the team, we hope to find someone who can prioritize work and think strategically to solve problems and build stakeholder consensus with various global and domestic colleagues across all departments.
The ideal candidate is a detail-oriented, meticulous self-starter who can manage a diverse set of responsibilities efficiently and effectively and is comfortable asking for help, when needed, in a fast-paced environment. A strong organizer who can prioritize assignments while executing a high volume of requests and queries and help us facilitate the best possible strategies for our teams and stakeholders while also remembering to step back, consider the big picture, and adjust your strategy when needed, you'll assume greater responsibilities over time.

This is a primarily in-office position (at least three days a week ), with some flexible remote work options to be coordinated in alignment with the President's fluctuating schedule and needs and any ad hoc projects needed. We will consider candidates who can work from a commutable distance to our offices at 1745 Broadway, which includes the tri-state area (NJ, CT, & PA).
The Role:
• Provide administrative support in the day-to-day operations of the President's office: calendar management, coordinating divisional and company-wide scheduling, maintaining correspondence, and handling monthly expense reports
• Coordinate agendas and create materials for regular meetings led by the President
• Tracks daily, weekly, and long-term priorities for the President and amends the schedule to suit those priorities
• Provides administrative support to other PubOps. IT, Services leadership, and departments as needed
• Provides support on various projects relating to:
• Arrange domestic and international travel; create detailed travel itineraries, including coordinating meetings and researching/booking hotels/restaurants
• Support in planning and coordinating meetings and special events, both internally and externally (room setup, catering orders, IT coordination)
• Handle ad-hoc projects for the President's office as needed
• Draft communications for distribution
• Manage office material (monitoring existing supplies, ordering, and receiving)
The Essentials:
• Prior senior executive administration and office management experience; at least ten years of related experience with a minimum of five years assisting a senior executive in a highly visible support role (experience as an executive assistant in trade book publishing a plus)
• Must be able to act with discretion and always able to handle confidential and sensitive information
• Excellent time management skills and ability to prioritize and multi-task effectively
• Quick learner and able to take direction easily
• Exceptional communication & writing skills; both verbal & written are essential
• Professional and friendly manner on the phone, over email, and via other written correspondence is a must
• Able to work well under pressure and handle multiple responsibilities in a deadline-driven and dynamic environment
• Strong sense of integrity with the ability to handle confidential and sensitive information with discretion
• Demonstrates a creative, innovative, and resourceful approach to problem-solving; able to take direction easily
• Strong computer skills: proficiency with Microsoft Word, Excel, PowerPoint, and Outlook are required
The salary range for this position is $65,000 to $85,000. Compensation will be determined by years of experience in executive administration and office management working with senior management. All positions are currently eligible for annual profit award or bonus, subject to Company results.
