Job Description
Overview and Responsibilities

The Real Estate and Facilities departing is looking for a Senior Coordinator to join the team! This person will coordinate and supervise facilities operations, including support the Senior Vice President and the Hollywood Facilities team. The coordinator will serve as a liaison between Facilities and employee population, building management, and vendors.
• Manage a team of Facilities Technicians and Day Porters, including schedules, daily tasks, overtime, etc.
• Serve as a point person for general building maintenance, repairs and janitorial services, maintaining communication between Facilities, employee population, building management and vendors.
• Organize and distribute all work orders and ensure they are completed in a satisfactory and timely manner.
• Validate all Certificate of Insurance documents (COIs) and categorizing them in the Angus software.
• Lead and inspire Facilities Technicians to uphold the appearance of the best in-class facility with an emphasis on cleanliness, efficiency, and a client/guest friendly environment.
• Track & maintain upkeep of the building, including but not limited to repairs, cleaning, furniture, and daily walkthroughs of the space.
• Angus (online ticketing system) - Responsible for creating and delegating tickets, and ensuring tickets are prioritized and completed in a timely manner.
• Provide coverage to the Mailroom as needed.
• Process all key requests, including cutting all office & file cabinet keys, maintaining book of key codes & stamps, and all key boxes. Coordinate office re-keys & repairs with locksmith.
• Generate supply inventory lists, placing restock supply orders as needed.
• Coordinate and approve vendor access with security team, as well as back up for production access to shoot spaces with HW/NY Technical Operations Team.
• Back up the coordination of in-house shoots, including coverage (or scheduling coverage) for after-hours shoots, as needed.
• Serve as a point of contact for after-hours questions and issues.
• Process data for monthly/quarterly employee participation in the Commuter Program. Ensuring that all participant incentives are paid quarterly in a timely manner.
• Responsible for preparing all purchase order requests for Hollywood, fulfill supply orders, and process invoices, ensuring all operational & capital related expenses on S/MART and SAP are valid for payment.
• Work with Space Planning team to ensure the necessary arrangements are completed for all new hires.
• Oversee the execution of all office moves with the Space Planning team and Service Groups.
• Provide backup coverage for guest office space and concierge service for visiting guests and executives.
• Understand all functions and specific needs while maintaining regular daily interactions with all members of the team to ensure inter-departmental operations run smoothly.
• Manage our departmental calendar to ensure members of the team are aware of all meetings, work orders, scheduling conflicts, updates and changes, etc.
• Order and maintain departmental office supplies, files, and equipment.
• Pick-up and/or deliver items necessary for maintaining Facilities operations.
• Assist the Facilities Events team to plan and complete building-wide employee appreciation events.
• Special projects and additional duties to be as assigned as needed.

Basic Requirements
• A minimum of 3-5 years in a Corporate or Facilities environment
• Ability to carry 50 lbs., physically bend down, and pick up items overhead.

ADDITIONAL INFORMATION

Hiring Salary Range: $36,800.00 - 53,000.00. The hiring salary range for this position applies to New York, California, Colorado, Washington state, and most other geographies. Starting pay for the successful applicant depends on a variety of job-related factors, including but not limited to geographic location, market demands, experience, training, and education. The benefits available for this position include medical, dental, vision, 401(k) plan, life insurance coverage, disability benefits, tuition assistance program and PTO or, if applicable, as otherwise dictated by the appropriate Collective Bargaining Agreement.
