Provide administrative assistance to the SVP of Special Projects and Events. This position will provide administrative support as well as gain hands-on experience with event planning & execution. Ability to work independently, remain focused under pressure and have an outstanding attention to detail at all times is critical. Candidate should deliver the highest levels of quality, thoughtfulness, and integrity in all verbal and written communication, plus act as a true ambassador for the department and Paramount.

Responsibilities to include, but not limited to:
• Manage calendar
• Manage phones (if applicable via zoom)
• Coordinate domestic & international travel
• Process monthly expense reports
• Schedule in-person & virtual meetings, venue walk-throughs and messenger services
• Prepare and maintain team documents and secure all creative assets
• Process all POs and purchasing card payments via SAP Ariba and Concur systems software
• Create and submit all contract request forms to Sourcing, Finance and Legal departments and work with departments and vendors to ensure that all contracts are fully executed prior to event
• Collaborate with Risk Management department to ensure that vendor COIs are up to date and in accordance with Paramount Pictures company policy
• Troubleshoot any issues with vendor payments
• Oversee gate passes to ensure visitors are granted access as needed
• Create memorandums and distribution lists as instructed
• Order supplies for department
• Coordinate conference room requests and bookings
• Support team as needed with the preparation and onsite execution of events
• Assisting with event ticketing
• Assist onsite at events as assigned
• Staying up to date with Covid protocols
• Maintain a positive rapport with vendors and provide assistance and details, as needed

Qualifications/Skills

Basic qualifications:
• Bachelor's Degree or equivalent work experience preferred
• Minimum one year related experience
• Proficient with Word, Excel, and internet software

Desired skills:
• Excellent written, verbal, and interpersonal skills with the ability to collaborate with staff, other administrators, internal and external customers and senior management
• Organized and detail oriented with the ability to manage multiple high priorities and be able to appropriately prioritize work and proactively anticipate and manage time
• Familiar with a variety of industry concepts, practices, and procedures

ADDITIONAL INFORMATION

Hiring Salary Range: $47,000.00 - 53,000.00.

The hiring salary range for this position applies to New York City, California, Colorado, Washington state, and most other geographies. Starting pay for the successful applicant depends on a variety of job-related factors, including but not limited to geographic location, market demands, experience, training, and education. The benefits available for this position include medical, dental, vision, 401(k) plan, life insurance coverage, disability benefits, tuition assistance program and PTO or, if applicable, as otherwise dictated by the appropriate Collective Bargaining Agreement.
