Overview:
Join the dynamic Corporate Finance & Investor Relations department as an Executive Assistant, where you'll play a pivotal role in supporting the EVP leading this division. If you're highly organized, thorough, and thrive in a high-energy, rapidly changing organizations we want to hear from you!
Responsibilities include but are not limited to:
• Serve as a gatekeeper for the EVP, Corporate Finance & Investor relations, managing access and communications to ensure efficient workflow and prioritize the team's time
• Handle the EVP's daily calendar with high level of detail; eliminate conflicts and schedule meetings with internal and external attendees of multiple time zones
• Attend meetings/calls with the EVP and take detailed notes
• Gather materials for review and distribute feedback and notes
• Arrange domestic and international travel plans and itineraries and compile travel documentation as needed
• Prepare travel and expense reports in the Concur system
• Assist in coordinating logistics for meetings including securing conference rooms, arranging catering, preparing presentations and agendas, etc.
• Lead technical setups for meetings, including video conferencing equipment and software
• Manage investor relations data in CRM and perform other department admin tasks such as uploading earnings call records to the Paramount website
• Perform additional administrative duties such as ordering lunches, preparing guest passes, and ordering office supplies
• Assist with planning and execution of department events, such as team-building activities, off-site meetings, or celebrations
• Assist with planning and execution of roadshows and investor meetings/events
• Proactively identify and resolve issues, ensuring smooth operations
• Handle sensitive information with the utmost discretion and maintain confidentiality at all times
• As needed, provide support to other department SVPs within the department
Basic Qualifications:
• 10+ years experience as an assistant, and 5+ experience as an executive assistant in fast-paced, high demand environment
• Shown track record of managing complex and dynamic calendars
• Strong organizational and multitasking skills with excellent attention to detail
• Excellent written, verbal, and interpersonal communication skills
• Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace
• Experience with travel coordination and expense reporting
Additional Qualifications:
• Bachelor's Degree or equivalent experience preferred
• Familiarity with the entertainment industry and marketing concepts
• Individual who is self-motivated, proactive, resourceful, and excels in problem-solving
• Ability to interface effectively with senior management, external partners and other executive assistants
• Strong teammate with the ability to work independently
ADDITIONAL INFORMATION
Hiring Salary Range: $85,000.00 - 100,000.00.
The hiring salary range for this position applies to New York City, California, Colorado, Washington state, and most other geographies. Starting pay for the successful applicant depends on a variety of job-related factors, including but not limited to geographic location, market demands, experience, training, and education. The benefits available for this position include medical, dental, vision, 401(k) plan, life insurance coverage, disability benefits, tuition assistance program and PTO or, if applicable, as otherwise dictated by the appropriate Collective Bargaining Agreement.
