Job Description
The Production Planning Specialist plays a key role in helping our unscripted productions running smoothly - from tracking expenses and managing budgets to booking gear, locations, and travel. You'll work closely with vendors, finance, and production teams to handle logistics, payments, and production documentation.
Job Duties:
• Support the production management team of show costs by efficiently keeping track of expenses
• Handle relationship with vendors when necessary; facilitating contract terms, and payment inquires
• Timely management of show expenses to include; process invoices, handle p-card transactions, ensure proper coding of expenses, review monthly actuals, and assist with pacing reports in conjunction with PMS
• Tracks orders & deliveries according to deadlines
• Responsible for maintaining purchasing logs for show
• Liaise with PMS and finance on information and requirements to process payments
• Build budget for projects assigned by Unscripted Production Director/Management
• Ensure proper legal documentation is secured; includes independent contractor agreements, appearance, location, and logo releases for in-studio and on the field services
• Responsible for researching & coordinating the rental of equipment, locations, items and any other show needs
• Assist with coordination of production requests such as booking camera, catering, location, transportation, etc.
• Create and coordinate production calendars
• Handle HR and Security requests for guests coming to TC
• Occasionally coordinate and assist with other entertainment shows/specials as needed
• Tracks cost for travel productions.
• Responds to and resolves problems or questions relating to production ensuring the most cost-effective solution; escalate issues to Unscripted Production management as needed.
• Booking travel arrangements for talent and special guests as needed
Qualifications
Basic Requirements:
• Minimum of 2 years of experience in production, event coordinating, and office management
• Bachelor Degree or equivalent of experience and/or additional education
• Must be fully fluent in English and Spanish (both written and verbal)
• Proficient in Microsoft 365 with particular emphasis and mastery of Excel
• Must possess excellent customer service skills and have a willingness to work as a team player
• Demonstrated ability to handle sensitive and confidential information with discretion, integrity, and professionalism. Maintaining confidentiality is essential to this role.

Additional Requirements:
• This position has been designated as hybrid, generally contributing from the office a minimum of three days per week.
• Willingness to travel with short notice and on weekends
• Willingness to work flexible hours including late and/or last-minute scheduling changes in a 24/7 production work environment
• Must be willing to work in the greater Miami, Florida area
• Must be 18 years or older
• Must have a valid driver's license
• Must have unrestricted work authorization to work in the United States
• Must be covered by Solutions, NBCU's Alternative Dispute Resolution Program
