Job Description

The Executive Assistant is responsible for supporting all day-to-day activities undertaken by the Chief Marketing Officer, Universal Pictures. The individual in this role is responsible for managing schedules, coordinating meetings and handling travel arrangements. This role will also include the preparation of presentations, asset management, tracking of key actions required and direct liaison with senior level stakeholders both internally and externally.

Responsibilities:
• Perform basic administrative tasks
• Manage complex schedules and coordinate meetings with internal and external parties across multiple time zones utilizing multiple calendars, often balancing very strict demands of high-level filmmakers and studio heads and anticipating problems and conflicts in advance
• Compile meeting agendas for weekly Senior Management Team meetings
• Coordinate travel schedules and arrangements and collect required travel documentation
• Build presentations on Microsoft PowerPoint/Keynote for meetings, conferences and events as well as coordinate heavy AV asset management across disciplines
• Provide AV and conference room support for multimedia and hybrid meetings
• Establish and maintain positive relationships with internal and important external clients
• Assist other department members as necessary
• Handle heavy phones and act as back up for the marketing team
• Prepare and process P-card and expense reports in accordance with established divisional travel policy guidelines
• Ensure the timely processing of expenses utilizing the latest electronic processes for payment to corporate credit card
• Special projects as needed

Qualifications
• Minimum 2+ years of experience supporting a senior level executive
• Proficient in Microsoft Word, Outlook, PowerPoint, Adobe and Excel
• Demonstrated ability to maintain utmost level of confidentiality

Eligibility Requirements:
• Must be willing to work in Universal City, CA
• Must have unrestricted authorization to work in the United States
• Willingness to work evenings and weekends with short notice and be flexible with hours

Additional Requirements:

Hybrid: This position has been designated as hybrid, generally contributing from the office a minimum of three days per week.

Salary range: $70,000.00 - $90,000.00 (not bonus eligible)
