Job Description

Responsibilities
The NBC Entertainment Marketing Design team creates and oversees NBC's cross-platform design graphics and visual executions for scripted and alternative series and specials and the network brand across print, digital, social and video. The individual in this position will handle a busy desk, managing day-to-day administrative support to the department SVP, support to the team and serve as liaison with internal, cross-company and external partners, agencies and groups.

Responsibilities
• Support administrative needs of the SVP of Marketing Design by professionally answering phones, submitting expenses, making travel arrangements and managing calendar
• Attend daily status meeting and coordinate team regroups on outstanding topics
• Collect and organize department's weekly status and highlights for executive updates
• Assist in preparation and drafting of correspondence, documents and presentations
• Assist the Design team in many capacities, such as seeking out and researching new vendors; researching competitive landscape; and contributing to creative ideation, copy proofing and finishing
• Organize and distribute cross-company updates such as the latest programming strategies and production schedules
• Work with Operations, HR and Finance to facilitate onboarding and ongoing administration of freelance vendors and contractors
• Track, file and follow up on departmental invoices, assist with quarterly and yearly budget and handle department purchasing card expenses
• Coordinate IT and facilities services for department
• Order supplies as needed
• Special projects as assigned
• Handle fast-paced, high-volume workload with steady professionalism
• Handle sensitive and confidential information appropriately

Qualifications/Requirements
• Bachelors Degree
• Minimum 1 year experience coordinating within entertainment industry (includes internship experience)
• Proficiency of Microsoft Office including Word, Excel, PowerPoint and Outlook on both Mac and PC systems
• Willingness and ability to work overtime
