Job Description

Role Summary

The NBCUniversal Advertising and Partnerships Communications team is looking for a proactive self-starter who is passionate about communications and is willing to roll-up their sleeves and dive into all thing's internal communications, supporting the company's business goals and employee culture. The Communication Coordinator, Advertising and Partnerships, serves as a key member of the team aiding the department's day-to-day operations, ensuring that all aspects of the Communications department run smoothly.

This individual will specifically work on the Internal Communications vertical and will support communications responsibilities, including employee newsletters, events, and initiatives, keeping the division informed of updates across the organization as well as engaged in team culture. In addition, this individual will assist the team with various administrative functions and operational duties and may be involved in special projects across the group.

Responsibilities

Administrative Duties:
• Support administrative needs of the Communications department (coordinate calendar, IT, supplies and facilities services, set up and produce in-person and virtual meetings and events, take detailed notes during key meetings, keep external press lists and internal distribution lists up to date, maintain executive bios & headshots, organize team files, assist with meeting prep, develop decks, as well as help to manage billing, invoices and expenses, and book travel as needed)
• Support administrative needs for the Head of Communications for the Advertising & Partnerships division, including managing the calendar, scheduling meetings and conference rooms, booking travel, managing expenses, and maintaining discretion at all times.
• Monitor and manage external and internal requests from NBCU Ads & Partnerships Communications designated inboxes.
• Learn the ins and outs of Microsoft SharePoint and Microsoft Teams tech capabilities to share information appropriately and produce virtual/hybrid events with ease.

Monitor, Research, Distribute, Apply Knowledge:
• Support ongoing press tracking as well as the division's daily morning clips process; monitoring major papers, trades, newsletters and online outlets as well as social platforms for relevant NBCUniversal news and industry clips and distribute to multiple audiences including NBCUniversal senior executives, the company's various communications teams and division-wide Advertising & Partnerships employees.
• Regularly research and provide short summaries on timely industry news and developments for the division's awareness.
• Support the team's Weekly Update email and distribute to members of Communications team and senior NBCUniversal executives
• Synthesize research information to utilize learnings and apply it to internal communication projects including internal content, events and more.

Internal Content:
• Monitor company-wide events and initiatives and draft engaging and concise written content catered to the Advertising & Partnerships employee population, which sits across multiple global offices.
• Utilize strong writing skills in the format of employee newsletters, memos, and calendar invites with exceptional attention to detail, ensuring all employee communications are streamlined, accurate, and relevant.
• Regularly update various internal communications platforms with the latest information.
• Create internal surveys to assess the division's needs.
• Develop creative decks for internal events and meetings to tell a cohesive story with a particular internal audience.

Internal Events:
• Serve as a key member of the Communications team, helping execute internal events (virtual, hybrid, and in-person), including managing the logistics, tech, and flow and ensuring speakers and audience members have clear and concise information.
• Develop briefing materials and assist in preparing key executives on the logistics of internal events, including run of show, participants, background information, and talking points.
• Create registration forms and manage RSVP lists for internal events.

Internal Initiatives:
• Assist in brainstorming and developing creative internal initiatives in partnership with HR and other teams to boost employee morale and create a culture of respect, diversity, and innovation.

Cross-Team Collaboration:
• Collaborate with multiple teams, including HR, Diversity Equity & Inclusion, Center of Excellence, Communications Teams across the company, and Sales Teams to ensure the employee population receives relevant, important, and up-to-date information.
• Approach internal communications with a lens of inclusivity, being mindful of employees' diverse set of backgrounds, jobs, locations, culture, and more.

Qualifications

Qualifications/Requirements
• Minimum 1 year work experience in communications, media and/or advertising preferred
• Some experience working events, using Microsoft Office (Outlook, Word, PowerPoint, Teams, Excel) preferred
• Bachelor's degree or equivalent experience
