Coordinator, Communications (Special Projects, DEI, & Brand Marketing)

Responsibilities

Job Purpose:
The Coordinator, Communications will assist in the day-to-day administrative support of the VP, Communications, Special Projects and DE&I, and VP, Global Brand Strategy and Marketing for the Universal Studio Group division. This position is based in the Universal City, CA offices but will start as working remotely. Essential Responsibilities:
General
• Cover the desk for both executives (phones, calendar/scheduling, preparing reports, booking travel etc.)
• Function as administrative liaison to departmental staff, other departments, external vendors and consultants
• Answer telephones, screen calls, route callers, take messages, respond to internal and external inquiries, and provide routine information within scope of authority
• Reconcile purchasing cards, executive travel, and expense reports
• Track, reconcile and file departmental invoices/accounting
• Handle office administrative duties for the West Coast Communications, Special Projects, DEI and Marketing office (schedule IT, office supply orders, coordinate drive-ons with security and provide check in instructions, schedule facilities, manage office share drives etc.)
• Maintain standards of strict confidentiality with respect to all matters and documents
• Work in partnership with other department coordinators to interview and hire pages and interns

Comms, Special Projects & DEI
• Coordinate panel and event logistics
• Research and support USG's new and existing partnerships with various advocacy and non-profit organizations
• Assist in the day-to-day operations with cross-functional teams, including the broader DEI team (corporate, network and studio), Global Talent Development & Inclusion, studio publicists, and human resources

Marketing
• Review digital marketing materials
• Asset collection for presentation needs
• Support development of brand guidelines
• Review brand execution both internally and externally

Qualifications/Requirements
Basic Qualifications:
• Bachelor's degree
• Minimum 1-year marketing or project management experience, including internships
• Working knowledge of Microsoft Office (i.e. Word, Excel, PowerPoint, Outlook)

Eligibility Requirements:
• Willingness to travel and work overtime, and on weekends with short notice
• Must be willing to work in Universal City, California
• Must have work authorization to work in the United States
• Must be covered by Solutions, NBCU's Alternative Dispute Resolution Program
