OVERVIEW AND RESPONSIBILITIES
Paramount Global Facilities team is seeking a Senior Facilities Coordinator who provides customer service and office services support to employees, building management, and vendors at Tennessee Paramount locations.
Responsibilities
- Assist in overseeing facility related maintenance and operations at CMT Nashville and Louisville, KY locations to include purchasing supplies, collaborate with vendors, contract compliance, submit work orders, and delivering office support services.
- Coordinate facility service requests and work orders via Angus Work Order system.
- Manage employee, guests, and vendor parking access and validations, activations/deactivations, and reserve parking stalls for talent and artists.
- Regularly maintains the parking account and retains accurate records for reclassifying to specific department cost centers.
- Ensures that all contractors adhere to safety/security protocols as required per building guidelines.
- Manage new employee hire, vendor, and guests badging access.
- Works with CMT Security to ensure access is activated and/or deactivated and maintain accurate information in database.
- Manage and submit new vendor contracts and process Certificate of Insurance (COI) for vendors to ensure compliance with building requirements and guidelines.
- Ensure contracts and Facility Service Agreements (FSAs) are recorded and up to date.
- Assist in the purchasing of office supplies, goods, and services and conducts research of vendors for best pricing recommending cost saving methods.
- Process purchase requisitions, purchase orders, payment of invoices, credit card purchases and reconciliation, and provide appropriate cost center coding.
- Reserve office space and conference rooms via AppSpace.
- Maintain all space usage and floor plan data for facilities via PlanOn database.
- Liaison with facilities team to support other department special events and functions; communicate events and activities at building location.
- Provide additional support when needed (i.e., food service, restocking, catering orders).
- Performs daily walkthroughs with focus on janitorial conditions, workspace conditions, etc. ensuring all areas are clean and safe.
- Assist with HVAC adjustments when needed.
- Assist with other duties as assigned.
BASIC QUALIFICATIONS
- High School Diploma required.
- BA/BS in facilities management or related field preferred; or minimum of 3 years related experience.
- Proficiency MS Office Word, Excel, and Outlook
ADDITIONAL QUALIFICATIONS
- At least 3+ years of experience as an assistant, and a minimum of 3+ years of general office work experience in a customer service field or the public relations industry is preferred.
- Expert interpersonal communication skills, both written and spoken
- Ability to organize and apply independent judgment, discretion, and initiative to address problems time sensitive tasks.
- Must have an unrestricted, valid driver's license and be able to drive company vehicles as needed.
- Prior experience working with vendors highly desired.
- Prior experience reconciling expenses and invoices preferred.
- Excellent grammar, telephone etiquette, written and verbal communication skills are required.
- Requires initiative, organizational skills, and attention to detail.
- Demonstrates ability to remain calm, professional, helpful and courteous when faced with repeated interruptions/demands and difficult people/situations.
- Must be able to lift heavy objects.
