The main role of the production compliance manager is to ensure that project management best practices are being followed by all department members and that the organization's performance is guided by these procedures and protocols. The production compliance manager reports frequently to the Head of Compliance and is able to determine action plans to solve problems related to conformity. The compliance manager main tasks involve setting up internal control and audit, implementing changes to policies and participating to the development of new procedures. The manager organizes the necessary events and participates to the training of the employees on these new processes and policies. With the ability to work on balancing multiple priorities, the production compliance manager must be able to work autonomously and in a team environment. Preserving the company's knowledge in a structured way, the compliance manager is also the gatekeeper of the procedures and protocols which help to offer consistency and improve efficiency.

Duties & Responsibilities

Road map

Creation and standardization
• Request the road map to be created when new shows are announced
• Provide a template to be filled

Validation and QC
• Provide an agenda for road map presentation
• Cross all the QC items or request further information on missing items
• If needed, set up a follow up meeting

Milestones
• Help to track the progression and completion of the milestones per show as established in the road maps
• Ensure all milestones are logged in Shotgun/DASH and updated when changes occur

Goals

Validate frequently if all level of production is participating to the goals/quota system
• Show Health Check - ensure Production Managers update and issue the Show Health Check document (which includes the Weekly Goal Report) prior to each Show Health Check meeting
• Unsure that the Goal Daily Statuses are being properly monitored and published by the Coordinators.

Inspect the quality of information
• Review the validity of the information presented and intervene if needed

Issues and Actions raised
• Ensure the report includes Issues and Actions for all problematic areas prior to the weekly show health check meeting – and ensure that each Goal Daily Status published also contains issues and actions

Escalation protocol

Following weekly show health check results, responsible for scheduling all escalation meetings required per the escalation chart
• Provide a list of attendees for the meetings
• As per the escalation chart, book escalation meetings when needed

Attend meetings
• Verify that all the right data is being used and presented during meetings
• Make sure all the issues are logged and have ownership
• Raise all previous issues and call out owners for update

During escalation meetings, raise items from the show health check meeting that need actions/solutions

Documentation: procedures, protocols & reports (PPR)

Provide the appropriate documents on demand

Coordinate the creation, review and implementation of policies and procedures
• Collaborate with SMT and GLT to get sign off
Organize rollout and training session, as well as onboarding of newcomers

Keep and maintain the documentation and reports in a specific location accessible to all (Wiki)

Creating templates for new reports when / where required (Via Excel or Power BI)

Investigating tools for automation of recurring production / compliance tasks

Audit

Coordinate audit and compliance check (recurring and on demand)

File audit report and share results with SMT and GLT
• Determine actions plan to reach conformity when needed
• Including direct guidance to the team on what is required
