Job Description
The primary responsibility of the Coordinator, Corporate Partnerships position is to provide a wide range of administrative support to the Corporate Partnerships department.Key metrics used to evaluate performance:
• All duties and responsibilities completed at or before deadlines, and executed with high levels of detail orientation, discretion, and professionalism
• Pre-meeting preparation (i.e. reminders, all materials, etc.)
• Feedback from event attendees
Essential Functions (Duties & Responsibilities**):
• Event planning support for annual Corporate Partnerships Summit, In the Paint and Las Vegas Pre-Season games
• Work with Marketing team to create graphics, invites, app, etc.
• Manage guest lists and RSVPs, send out save the dates and invitations.
• Book hotel rooms, meeting spaces, venues and other travel accommodations.
• Assist in planning receptions, speaker events and other onsite events.
• Manage the invoicing process for all partners – work with Accounting, Account Managers and partner contacts to create invoices according to schedule, submit invoices to partners, and monitor to ensure they are paid in a timely manner.
• Assist and maintain oversight of season-long department budget.
• Manage partner suite nights at Crypto.com Arena – maintain tracker for contracted partner suite nights, work with AEG/LEVY to schedule each night and order F&B, distribute suite tickets to partner contacts, and process suite invoices.
• Assist Corporate Partnerships team with additional non-contracted suite nights – organize guest lists, order F&B, distribute tickets, and organize gifts.
• Make game day reservations at Lexus Club and Yaamava' Club by San Manuel.
• Order and distribute partner holiday gifts.
• Order and distribute partner and miscellaneous employee Nike requests (City Edition jerseys, Finals/Championship t-shirts).
• Coordinate calendar, travel, expenses and other duties as assigned by VP, Corporate Partnerships.
• Maintain inventory of the corporate partnership department autographed items, merchandise and gifting products.
• Coordinate department meetings and keep detailed notes on discussion topics.
• Opportunity to assist both domestic and international account management teams in fulfilling sponsor contractual obligations including media, signage, print, digital, social media, in and out of arena promotions, emerging demographic marketing, community relations, tickets and hospitality.
**Responsibilities subject to change based on organizational needs and direction from management.
Education:
Bachelor's degree (preferred)
Previous experience:
A minimum one to two (1-2) years' work experience in a sports sponsorship environment including marketing, promotions, sponsor servicing and special events.
Knowledge, skills, abilities:
• Strong written and oral communication skills; must be able to professionally interact with all levels of the organization and with partners.
• Demonstrated capacity to multi-task, be well organized and possess a strong attention to detail and project management skills.
• Ability to work with multiple managers and personality types.
• Ability to work through ambiguity and proactively create solutions.
Technology Capabilities:
Microsoft Office (Word, Excel, PowerPoint, Outlook and Teams), Concur, Adobe Photoshop
Physical Demands:
Ability to lift up to 25 lbs.
Location:
El Segundo (offices M-F), and other occasional off-site events
Travel:
Less than 5% of the time
Hours:
Regular office hours (9am- 5:30pm M-F), plus overtime may be required; must be available to work evenings, weekends and holidays, if requested.
The pay range for this role is $20.00/hour to $23.00/hour. Actual compensation packages are based on several factors that are unique to each candidate, including but not limited to skill set, depth of experience and certifications.
