THE ROLE

Vibee is seeking a highly motivated and proactive Project Manager to join the team. This position is responsible for the planning and execution of Vibee curated experience events and festival integrations. Destination Experiences and Festival Integration events may occur in markets throughout globally, in standard event venues to non-traditional spaces where all infrastructure is built. This is not a remote position.

RESPONSIBILITIES

Project Management
• Partner with the Senior Producer through the execution of every aspect of festival site and stage production such as advance work, creating/updating vendor orders, onsite build coordination, etc
• Manage and maintain day-to-day flow of projects with Senior Producer and Production team per show
• Maintain project timelines, track project process, and provide updates to all stakeholders, supported by Project Coordinator
• Be responsible for the creation and managing of labor schedules and budgets
• Manage onsite schedules and distribute / track daily task lists and projects through build and strike
• Provide support for all areas of the site ops team such as assistance in heavy equipment auditing and quartermaster tracking as necessary
• Be responsible for other special projects as assigned by the site production manager

Reporting
• Prepare and track all P-Card, cash spending reports, and per diem coordination with the finance team
• Partner with Senior Producer to prepare forecasts, collect and organize quotes, and manage post show invoice reconciliation, supported by Project Coordinator and Elevated Experience team
• Understand cost of materials / supplies and consequences of damage & loss with festival gear / rentals

Administration
• Manage seasonal staff roster, coordinate offer letters, and new hire onboarding in coordination with HR
• Be responsible for timekeeping and payroll functions for seasonal staff in coordination with HR
• Partner with Senior Producer to spearhead recruitment / hiring efforts
• Recruit, train and onboard members on the team both directly and partnering teams
• Create necessary documents such as airtable forms, day sheets, command post dispatch guide and prepare site ops team, heavy equipment admin, and quartermaster admin with all necessary show info for proper logging / auditing to be done
• Set up office space making sure supplies and crew wellness needs are taken care of at all times

Communication
• Act as main internal communicator for the stage and site production and operations teams
• Collaborate with the Front of House (FOH) and Back of House (BOH) teams to streamline the advancing workflow
• Act as the advance lead for the stage and site production team to complete and send out advance forms to confirmed vendors and internal departments for each event. Spearhead all aspects of the advance process such as providing follow-up and timely return of advance forms, compiling necessary content, etc
• Provide clear, concise communication with all relevant stakeholders as directed

QUALIFICATIONS
• 6+ years' experience in live event planning and producing
• Proven ability to manage teams for planning and building large-scale events or music festivals
• Proven ability to develop and execute staff training sessions across a variety of production fields
• Proficiency in spreadsheets, Google Suite, Airtable, and Asana
• Must be motivated with an ''Everything is possible'' attitude
• Must be an active problem solver, instilled with a sense of urgency for projects large and small

WORK ENVIRONMENT
• Must be able to tolerate loud noise levels & busy environments
• May work in drastic temperature climates
• Must be willing to work during evening and weekend hours, as required, to meet deadlines
• Must be willing and able to travel extensively both domestically and abroad
• Must be able to continuously stand or walk.
• Must be able to bend, squat, climb stairs and lift frequently
• Must be able to lift up to 20 pounds occasionally
• May occasionally walk on slippery or uneven surfaces
• Position will expose candidate to sensitive company information and so must maintain strict confidentiality
• Must exercise the utmost discretion in dealing with staff, vendors, and business associates regarding sensitive matters
