Job Description
THE JOBThe Special Events Coordinator provides administrative, coordination, and execution support for all special events. This role serves as a liaison between clients, internal departments, and external vendors while managing event documentation, financial tracking, and departmental operations. This position supports our Owned and Operated Venues in the greater San Diego Area.
WHAT THIS ROLE WILL DO
Event Coordination & Execution
• Provide comprehensive administrative and operational support to the Director of Sales for all special events
• Coordinate event details with internal departments (production, operations, food & beverage) and external vendors
• Maintain accurate event documentation through digital filing systems
• Assist with department systems maintenance, including CRM and event diagramming software
Financial Management
• Process event deposits and payments in a timely manner
• Track payment status for all events and provide accurate reporting to the Director of Sales and Accounting
• Manage accounts receivable follow up with monthly updates
Administrative & Departmental Support
• Manage inventory of sales kits, collateral materials, ticket requests, and client gifts
• Update special event menus in collaboration with the marketing team
• Support reporting requirements, including Strategic Sales Plans, Competitive Analysis, Budget, Forecasting, and Weekly Recaps
• Assist with special projects as assigned
WHAT THIS PERSON WILL BRING
Required
• Minimum 1 year of experience in hospitality and/or customer service
• Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
• Strong written and verbal communication skills
• Excellent organizational and prioritization abilities
• Ability to work effectively in a fast-paced, high-volume environment
• Professional appearance and demeanor
• Flexibility to work days, nights, and weekends as needed
Preferred
• Bachelor's degree
• Knowledge of food and beverage preparations, service standards, and guest relations
• Basic mathematical and accounting skills
• Experience with event management software
Physical Requirements
• Ability to stand, walk, bend, stoop, crouch, and kneel for extended periods
• Manual dexterity to handle small objects and operate event equipment
• Capacity to work in high-noise environments with frequent interruptions and task changes

The expected compensation for this position is:
$56,000.00 USD - $70,000.00 USD
** Pay is based on a number of factors including market location, qualifications, skills, and experience.
