WHAT THIS ROLE WILL DO
I. Essential Functions
• Provide administrative, coordination and execution support to the Director of Sales for all special events
• Coordinate event details with internal departments (production, operations, food & beverage) as well as external vendors on behalf of Director of Sales
• Maintain department's event documents via digital filing program
• Assist Director of Sales with department systems maintenance including CRM, and event diagramming program
II. Accounting Functions
• Process all deposits and payments in a timely manner
• Track status of payments made for all events and report accurately to Director of Sales and Accounting
• Follow up on all accounts receivable and provide monthly update to Director of Sales
III. Departmental Functions
• Manage supply of assembled sales kits, collateral materials and client gifting
• Update special event menus as needed with marketing team
• Support Director of Sales in completing annual, quarterly, monthly and weekly reporting including but not limited to Strategic Sales Plans, Competitive Analysis, Budget, Forecasting and Weekly Recaps
• Support special projects as assigned by Director of Sales
V. Specific Job Knowledge, Skill and Ability
• Basic Mathematical skills
• Comprehensive knowledge of food and beverage preparations, service standards, guest relations and etiquette preferred
• Ability to operate various food and beverage equipment present at a function preferred

What You Need:
• Minimum of one year in a hospitality and/or customer service capacity preferred
• Working knowledge of computers (Excel, Word, PowerPoint, etc)
• Written and verbal communication skills
• Ability to prioritize and organize and work in a fast-paced, high-volume environment
• Ability to work in a very fast-paced environment with considerable noise and interruptions. Must be able to pivot frequently from one activity to another.
Preferred:
• Bachelor's Degree
Physical Work Demands:
• Physical activities include walking, talking, seeing, hearing, pushing, balancing, stooping, crouching, kneeling, and handling. Must be able to grasp and hold very small objects
• Flexible Schedule including ability to work days, nights and weekends.
