Job Description
THE JOB
The California Guard Card / PSO Coordinator plays a critical role in ensuring compliance with state licensing requirements for all Protective Services Officers (PSOs) across concert venues. This position is responsible for tracking license expiration dates, coordinating regional training schedules, and working closely with venue managers to ensure timely and accurate completion of required training, provide reporting and status updates to venue management teams. The coordinator will manage data from Workday and other systems, maintain a comprehensive tracking spreadsheet, and proactively prevent license lapses.
WHAT THIS ROLE WILL DO

Key Responsibilities:
• License Tracking & Compliance
• Maintain and update a centralized spreadsheet with Guard Card and PSO expiration dates.
• Implement automated reminders and alerts to prevent lapses in licensing.
• Monitor compliance with California BSIS Guard Card and PSO regulations.
• Training Coordination
• Schedule and coordinate regional PSO training sessions.
• Liaise with individual venue managers to ensure training is completed on time.
• Track training attendance and completion records of both online and in person trainings
• Attend venue manager meetings to coordinate trainings and provide updates
• Assist in the refinement and deployment of training materials.
• Data Management
• Extract and compile training data from Workday and other internal systems.
• Audit and reconcile training records to ensure accuracy and completeness.
• Generate reports for leadership on compliance status and upcoming
expirations.
• Maintain up-to-date knowledge of training requirements.
• Maintain accurate and audit-ready records in conjunction with VN Security and Training Director.
• Stakeholder Communication
• Serve as the primary point of contact for venue managers and the venue security teams regarding PSO licensing and training.
• Provide regular updates and guidance on regulatory changes and training requirements.
• Collaborate with HR and Security departments to align on compliance goals.
WHAT THIS PERSON WILL BRING
• 2-4 years of experience in security operations, training administration, compliance or related fields.
• Proven experience in administrative coordination, preferably in security or event operations.
• Familiarity with California BSIS Guard Card requirements.
• Proficiency in Excel or Google Sheets, including formulas and conditional formatting for reminders.
• Experience with Workday or similar HR/training platforms.
• Strong organizational and communication skills.
• High attention to detail and a commitment to accuracy, documentation standards, and compliance.
• Ability to manage multiple venues and stakeholders across regions.
• Experience in concert or event venue operations.
• Knowledge of security training programs and standards.
• Ability to work independently and proactively solve problems.

The expected compensation for this position is:
$20.00 USD - $25.00 USD Hourly
