THE JOB
We're seeking a friendly and detailed oriented Promotion Prize Administrator to join our dynamic Brand Promotions team. We award thousands of prizes each year on behalf of brand Sponsors. To ensure winners have an exceptional experience, we manage the entire winner selection process - from notification, validation, prize fulfillment, winner support, to tax filings. The Promotion Prize Administrator will assist Promotion and Brand Managers and be directly responsible for promotion-specific tasks related to prize procurement and fulfillment, winner management and support, and team administration services.
WHAT THIS ROLE WILL DO
• Winner communication, eligibility screening, notification, and verification per the promotion rules
• Draft any necessary winner paperwork per the promotion rules
• Work with winners to obtain any necessary signed documentation such as Affidavits of Eligibility, Liability Releases, Publicity Releases, Travel Guest Releases and W-9s; and follow-up on outstanding paperwork as required
• Open communication with winners to ensure prize fulfillment experience is positive and seamless
• Prize procurement and secure fulfillment of physical and digital prizing, including shipping logistics
• Book and manage experiential prizing such as airfare, hotel, event tickets, cash cards, merchandise, and artist experiences, including day of event winner support and alternative arrangements, if issues arise
• Track overall budget spending, receipts and required legal (e.g., affidavits and releases) and tax data (e.g., 1099 IRS forms) and files
• Weekly status reporting
• Assist Promotion Managers with entrant data tracking, opt-ins, and fan support, including troubleshooting issues and escalating queries and concerns
WHAT THIS PERSON WILL BRING
• 2+ years in administration or prize fulfillment.
• Experiential, customer service, and/or travel booking experience a plus.
• Proficient in Asana and Microsoft Suite.
• Excellent written and verbal communication skills.
• Handle database tasks including digital file security per company policy.
• Must be well organized, detail oriented and can work efficiently in a high volume environment.
