Position Title: Front Office Administrator

Important Note: This position is part-time/seasonal with hours beginning in March of 2024 and working through October of 2024.

THE JOB

Huntington bank Pavilion is seeking a highly organized, adaptable, and motivated individual with dynamic interpersonal skills to join our team as an Administrative Assistant.

WHAT YOU'LL DO
• Managing General Administrative Functions:
• Provide comprehensive administrative support, demonstrating exceptional organizational skills and attention to detail.
• Prioritize and execute tasks independently, ensuring deadlines are met with precision.
• Communication Management:
• Professionally handle incoming phone calls, emails, and text inquiries, directing them appropriately and promptly to ensure effective communication flow within the office.
• Records and Logs Maintenance:
• Maintain meticulous records of lost and found items and badge logs, ensuring accuracy and accessibility for tracking purposes.
• Mail and Deliveries Handling:
• Efficiently process incoming and outgoing mail, packages, and deliveries, promptly distributing them to the designated recipients.
• Office Supplies and Equipment Management:
• Oversee inventory and procurement of office supplies, coordinating maintenance and repairs for office equipment to ensure uninterrupted workflow.
• Document Preparation and Presentation Support:
• Assist in the creation of professional presentations, reports, and materials required for meetings and presentations, both internally and externally.
• Handle the development and printing of materials and samples, demonstrating proficiency in formatting and design.
• On-Site Event Support:
• Provide operational support during events, ensuring seamless execution of tasks and addressing any immediate needs.
• Flexibility and Adaptability:
• Embrace a proactive approach to tackle unforeseen challenges and assist with any additional tasks delegated by venue management, contributing to the overall success of office operations.

WHAT YOU'LL BRING
• High School degree or currently pursuing college courses preferred.
• Ability to work various flexible hours, inclusive of nights and weekends.
• Must have an overall interest in learning about the music industry; touring and concert industry experience is a plus but not required.
• Ability to work in a dynamic, fast-paced, deadline-driven environment while maintaining organization and attention to detail.
• Proficiency in Microsoft Office products (Outlook, Word, Excel); comfortability utilizing internet tools and social media sites.
• Professional written and verbal communication skills; ability to build and foster professional relationships with individuals at all levels.
• Must be able to maintain confidentiality, handle sensitive matters and exercise excellent judgment.
• Ability to work well independently and within a team.
