WHAT THIS ROLE WILL DO
• Communicate with high level contacts inside and outside the company, including booking agents, Artist Managers and leading industry professionals.
• Interface with agents and venues to verify availability and build a calendar of events.
• Manage internal documentation using internal booking systems, calendars and ticketing schedules.
• Assist in administration for booking amphitheaters, arenas, and theaters.
• Directly coordinate, or coordinate with Travel Department, travel arrangements including flights, hotels, and car services as requested and create itineraries, including all confirmations and contact information for flights, hotel and transportation.
• Updates itineraries and check for new information pertaining to travel. Prepare and update office travel schedule.
• Compose, type, and prepare correspondence, memos, PowerPoint presentations, confidential materials, etc. of the highest quality.
• Coordinates, administrates and tracks show contracts, payments and other paperwork from beginning to end.
• Proactively manage a busy and complex calendar.
• Schedule and coordinate meetings or other events as directed.
• Use sound judgment and carefully ascertain the nature of incoming phone calls, accurately records messages, address issues on your own, and transfer calls as necessary. Follow up with callers regarding information requests.
• Proactively manage the workflow of the Executive, including meetings, correspondence, and milestones.
• Help organize critical work projects. Prioritize with the Executive to make sure that all objectives are addressed and handled in a timely manner.
• Work with other members of internal departments as requested to promote departmental objectives.
• Provide general administrative support and perform diversified administrative duties; prioritize, and manage projects with minimal supervision.
• Run errands as requested by assigned executive(s).
• Multitask in a fast-paced environment and remain organized, with attention to detail.
• Other duties as assigned by management
WHAT THIS PERSON WILL BRING
• BA/BS, or equivalent experience preferred.
• A minimum of 2 years' experience as an assistant.
• Experience in the music industry preferred.
• Multitask in a fast-paced environment and remain organized, with attention to detail.
• Proficient use of Microsoft Outlook (including group scheduling) and of Microsoft Office to include Word, Excel, and PowerPoint.
• Ability to navigate the internet as a communication and research tool.
• Professional level of verbal and written communication skills.
• A strong work ethic with a high sense of responsibility in an ever-changing environment.
• Discretion to handle sensitive matters and exercise excellent judgment.
• Ability to work independently and within a team to juggle multiple prioritized tasks.

The expected compensation for this position is:
$16.50 USD Hourly
** Pay is based on a number of factors including market location, qualifications, skills, and experience.
