Job Description
C3 Presents creates music festival experiences for millions of fans across the globe, setting the new standard each year for events that are as memorable as they are spectacular, including Austin City Limits Music Festival in Texas, Lollapalooza in Chicago (and seven other countries), and Bonnaroo in Manchester, Tennessee.

THE JOB
The Travel Coordinator works closely with the Travel Services Sr. Manager to plan and manage travel logistics for festival staff, vendors, guests, and C3 corporate travel. This role is responsible for arranging air, hotel, and ground transportation while ensuring smooth operations across multiple projects and events.
WHAT THIS ROLE WILL DO
• Coordinate travel arrangements, including air, hotel, and ground transportation, for company and event-related needs
• Assist in implementing and maintaining travel procedures, policies, and quality standards
• Manage inbound and outbound travel logistics, ensuring clear communication and execution before and during events
• Maintain organized records of travel data, confirmations, manifests, and itineraries
• Communicate with hotels, transportation providers, and other vendors to confirm bookings, manage changes, and resolve issues
• Track and process invoices, billing, and contracts in coordination with the accounting team and travel manager
• Build and maintain effective working relationships with internal teams, festival staff, vendors, contractors, sponsors, and temporary employees
• Provide administrative support to the Travel Services team, including updating calendars, trackers, and internal documents
• Perform additional duties, projects, and event support as assigned
WHAT THIS PERSON WILL BRING
• Bachelor's degree in a related field, or 2+ years of experience in travel coordination, event operations, or hospitality
• Experience in hotel, hospitality, or fast-paced environments
• Strong organizational and time-management skills with the ability to manage multiple priorities
• Exceptional attention to detail and a proactive, solution-oriented approach
• Proficiency in Microsoft Office (Word, Excel, Outlook); experience with web-based forms a plus
• Excellent planning, administrative, and communication skills.
• Ability to be punctual and meet deadlines
• Motivated self-starter who thrives in a deadline-driven environment and has exceptional follow-through skills
• A positive attitude
• Capable of presenting C3 Presents with professionalism
• Flexibility in work hours and availability, especially during major projects
• Ability to travel to various festivals and events.
