The Office PA/Receptionist will administrate the reception desk during working hours and assist with other in-house Office and PA duties.
General working hours: 8:30AM-7:00PM (subject to change)
$16.04/hour, 50 hours per week guaranteed.
Major Duties and Responsibilities:
- Open the office every morning, which includes deactivating the alarm, turning on the lights, and checking any overnight voicemail messages
- Greet clients and guests and ensure front desk/lobby is clean and organized at all times
- Answering all incoming calls, transferring calls and/or taking messages
- Sort, log, and deliver all incoming mail & packages and notify recipients
- Assist with all outgoing shipments from various departments via FedEx, UPS, USPS, etc
- Manage guest passes and parking validations for guests
- Ensure all conference rooms are clean & tidy throughout the day, print and post the daily conference room schedule
- Clean and restock kitchens throughout the day. This includes wiping down all surfaces, appliances, emptying dishwashers, etc
- Manage crafty and office supplies inventory
- Completing office runs by delivering & picking up media content, production/IT equipment, crafty, courier mail/packages, bank deposits, meals, gifts, etc
- General office maintenance, including but not limited to stocking printers, moving/assembling furniture, picture/board hanging, beautification, signage, electrical/lighting, minor plumbing issues, painting, HVAC requests, general office cleanliness
- Support the Operations Supervisor and help other departments or work on special projects as needed
Education and Work Experience:
- Must be Mac proficient with a working knowledge of Word, Excel or Google Docs
- Must have experience answering phones and rolling calls, either as a receptionist or an assistant
- Helpful to have a background or education in Film, Television, Post Production, Marketing, Advertising or related field
- Knowledge of general maintenance and repairs preferred
- Valid driver’s license and insured vehicle

- Able to prioritize duties and work independently
- Ideal candidate can learn quickly, multi task and shine in stressful situations
