IMG's Fashion Events group organizes more than 1,000 runway shows per year and owns, operates, or commercially represents 30+ global fashion weeks and fashion events, including NYFW: The Shows and Afterpay Fashion Week Australia.
We are looking for a Production Coordinator, who will be responsible for providing production services for IMG FOCUS. productions within the USA and globally. Provide administrative support to SVP, Production/Managing Director IMG FOCUS.
General Responsibilities:
• Report to SVP, Production/Managing Director IMG FOCUS. for Administrative tasks including calendar management, expense management, travel management
• Report to Director of Production, or specific project Producer, assisting in all aspects of a project
• Support the FOCUS. Team in responding to creative briefs, through conceptualizing proposals, creative brainstorming, researching venues, researching & sourcing event elements, vendors and requesting quotes accordingly
• Lead compilation of and updating of proposals
• Support with client communication for projects, including runway shows, production shoots and experiential events
• Sourcing and making strategic recommendations on venues, experiential elements, décor, and vendors, including continuous research
• Maintain effective business relationships with key clients, vendors, freelance staff/talent and venues. Working with senior team to continuously identify new clients and business opportunities. Maintain client list and new business target list of contacts
• Maintain event budgets, timelines, checklists
• Support with financial management including reconciliations, updating projections, processing vendor invoices and paperwork, client invoicing
• Support with legal administrative tasks and paperwork
• Runway show and event production support onsite such as backstage management, line up, model and show rehearsals, coordination of load-in and load-out for events
• Support Designer Collection Management when required
• Support Producer and Backstage Manager for liaising between production team, clients and creatives such as Stylists, Casting Directors, Music Directors, Leads of Hair and Make-up
• Prepare and participate in weekly Event Team meetings, compilation of agendas, WIP documents and detailed note taking for internal and external meetings
• Manage and attend all individual meetings with clients, vendors, venues and other stakeholders
• Supervise interns as required
• Continuous research about trends, best practices, methods, and design as it relates to the FOCUS. core business, and generally to global fashion show and event production
• Continuous venue research in New York City, and the United States as required
• Maintain and extend the existing network of global talent working for FOCUS. in the areas of set design, light design, creative direction, visual artists and others
• Manage FOCUS. archive with footage (videos, pictures), database, server/file sharing, website and capabilities decks
• Maintain vendor, sponsor and venue database of contacts
• Managing gifting requirements, supply orders and merchandise requirements
Qualifications/Abilities
• Experience of working in events
• Passion for events
• Enthusiasm for and enjoys creative concepting and compilation of proposals
• Interest in industries of fashion, beauty, entertainment, culinary and music industries (preferred but not required)
• Able to work efficiently in a fast-paced, high-pressure environment
• Excellent communication and organizational skills
• Strong attention to detail
• Comfortable interfacing with senior level management and clients
• Strong email and calendar management skills; and a high level of competency using Microsoft office software (Excel, Outlook, PowerPoint, Word, Teams), Keynote, and Google Workplace
