Job Description
Facilities Manager (6 Month FTC)

Who We Are:

Key Responsibilities and Accountabilities
• Manage daily office operations and supply inventory.
• Ensure office equipment functionality and coordinate repairs.
• Implement and maintain office policies and procedures.
• Support visitors and act as the main contact for internal and external clients.
• Coordinate office events, meetings, and conferences.
• Manage office budgets and expenses.
• Process invoices and assist with payroll preparation.
• Assist in recruitment and employee onboarding.
• Maintain employee records and manage attendance.
• Handle office communications efficiently.
• Maintain a filing system for important documents.
• Ensure compliance with health and safety regulations.
• Conduct safety inspections and emergency drills.
• Set performance goals and conduct evaluations.
• Provide training and handle disciplinary issues.
• Manage contracts with vendors and service providers.
• Monitor vendor performance and negotiate contracts.

Person Specification

Knowledge and Experience

Mandatory
• Experience of working in an office admin. function;
• An understanding of Health and Safety requirements;
• Experience of managing and leading a team.

Desirable
• Experience of managing outsourced services;

Skills and Abilities

Mandatory
• Excellent communication skills and diplomacy;
• Highly organised with a determination to find solutions;
• Strong team player;
• Ability to work under minimum supervision but ask for guidance or escalate issues as appropriate.

Desirable
• An understanding of the media industry is desirable but not required.
• Project management skills.

Qualifications and Training

Mandatory
• Experience operating as a Facilities Manager or Facilities Supervisor
• Strong organisational and leadership skills.
• Proficiency in MS Office and office management software.
• Excellent communication and interpersonal skills.

Desirable
• Degree or equivalent.

Aptitudes/Personal Profile

Mandatory
• A good understanding of the structure of the organisation and a commitment to aligning the Office Admin. service to its requirements;
• Proactive and self motivated with a 'can do' attitude;
• Customer-focused;
• Flexible and adaptable with the ability to work with a variety of people across the organisation.

Desirable
• Analytical and problem-solving skills.
