Assistant, Integrated Promotions (FX)
FX is seeking an Assistant to provide administrative support to the SVP and VP of the Integrated Promotions team.
The successful Assistant should be professional, polite, and attentive while also being accurate and able to multitask. They should always be prepared and responsive, willing to meet each challenge directly. The Assistant must be comfortable with computers, general office tasks, and excel at both verbal and written communication. Most importantly, administrative assistants should have a genuine desire to meet the needs of others.
Responsibilities:
Provide day-to-day administrative support for the SVP and VP, including, but not limited to the following:
• Answer phones, schedule meetings, organize calendars, complete expense reports, gather mail, and arrange courier services.
• Assist executives with presentation decks, and archive campaign materials accordingly.
• Provide office support for the team including ordering supplies and materials, equipment, IT support, furniture requirements, temporary staffing needs, and miscellaneous needs.
• Ability to tactfully manage executives' time, multi-task and communicate clearly and effectively with all team members.
• Anticipate the needs of the executive to ensure their daily demands can be met.
• Maintain polite and professional communication via phone, e-mail, and mail.
• Greet and assist visitors.
• Coordinate travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations.
Basic Qualifications:
• 1+ years of administrative assistant or internship experience in entertainment.
• Proficiency in Word, Excel, PowerPoint, and Keynote.
• Must be able to prioritize assignments, work in a fast-paced environment and handle multiple tasks simultaneously.
• Possess professionalism and confidence when working with executives, show producers, and talent via phone or in-person.
• Able to work under tight deadlines and be autonomous and decisive.
• Must be detail oriented and organized, with a strong ability to manage multiple high priority projects and appropriately prioritize work.
• Team player - willing to work with other assistants and staff at all levels in support of the marketing team.
• Positive attitude and the ability to be proactive, resourceful, and flexible.
• Must maintain confidentiality with respect to all matters and documents.
Preferred Qualifications:
• 2+ years of administrative assistant experience.
• Experience in the entertainment industry or production environment preferred.
Required Educations:
• Bachelor's degree, preferable in marketing or related field, or equivalent work experience.
The hiring range for this position in California is $57,900 to $77.500 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
