Job Description

Responsibilities
• Adding new vendors onto our systems to enable them to gain access to the building / set up emails / organise network access / complete required spreadsheets
• Admin support in distributing covid forms & keeping track
• Booking crew and issuing contracts. Keep track of signatories and filing system to enable the PM team to keep track
• Booking taxis for commentators / talent / freelancers / staff as and when required
• Support updating the weekly edits and facilities document
• Plan and book travel and accommodation for all crew including hotels, flights, trains, taxis, hire cars etc.
• Completion of travel request forms for the Discovery Security Council
• Booking parking spaces with security as and when required
• Updating some elements of call sheets (crew / contact numbers etc)
• Ordering stock for OBs (anti bac wipes / hand sanitisers / masks / gloves / printer ink cartridges / paper / water / tea / coffee supplies etc)
• Assist with updating production rota & relevant crew sheets
• Booking of couriers
• Provide some organizational support to Production Management Team, taking meeting notes as and when required
• Support the commentary team in checking Commentator availability by email and phone and book as agreed with the Commentary Coordinator
• Support the Production & Commentary Co-ordinators in making sure the planning is correct for the current day (Room allocations / remote production) and communicate any changes that need to be made quickly via mobile, txt & email
• Monitor the Eurosport App for some of our big events to check event based commentary is being broadcast correctly. Notify relevant parties if there are any issues
• Follow up and resolve any problems that may occur in day to day duties
• PA duties to Production Heads of Department, including Producers.

Requirements
• Articulate and clear communicator.
• Excellent organisational and planning skills, precise attention to detail and methodical approach to work
• Produce work of high quality that is checked prior to it leaving the department.
• Ability to multitask
• Time management - demonstrable ability to meet deadlines.
• Enthusiastic and approachable disposition.
• Pro-active, can-do attitude to work.
• Able to take the initiative and work without supervision.
• Ability to build and maintain effective working relationships with staff and freelancers
• Availability to work flexible hours and days
• An interest in sport is desirable.
