Position: Vault Manager
Location: New York, NY
*Pay Range: $67,600 – $69,000 USD annually
Company 3 is looking for a Vault Manager to join its team! The Vault Manager will cooperate with other Company 3 vault locations to move materials efficiently and economically between facilities. They will supervise permanent and temporary Vault clerks and approve timesheets/process time off requests. They must be highly organized, and detail oriented to manage high security client assets.
MAIN DUTIES:
The Vault Manager will hire and provide effective training for new employees; maintain staff schedule to provide optimal coverage; conduct yearly performance reviews for permanent employees; set goals and track progress. They will ensure onsite and offsite vaults are organized, audited, and consistently purged of non-WIP (work in progress) elements. They will support all departments to maintain a positive customer service atmosphere in the vault. Additional duties include:
• Barcode and accurately log metadata of incoming media into the database.
• Perform virus scan of incoming hard drives.
• Manage physical media including, but not limited to film, video tape, and hard drives by tagging, shelving, accurate tracking, performing regular inventories, packing and shipping.
• Locate elements for clients, staff, and other business units.
• Securely pull physical media in a timely manner for production use and return elements to vault storage when their use is complete.
• Keep onsite vault organized and retain space for incoming elements.
• Stage elements for destruction that have been requested by clients or have passed retention.
• Responsible for the security of all outgoing media.
• Pull elements for delivery and arrange for dispatch of couriers or overnight shipments with preferred vendors.
• Perform quality control check on Company 3-made asset labels.
• Know and follow client final pack-up procedures (ie. HBO, WB, Universal, Disney etc).
• Take responsibility for secure receipt of all incoming shipments and provide signature as proof of receipt.
• Accurately match shippers to goods received.
• Promptly notify account representatives of the receipt of incoming media.
• Oversee distribution of incoming mail/packages to staff.
• Maintain a zero-loss rate of client media.
• Order blank stock and maintain stock and supply inventory/log receipt of stock in database system.
• Request PO #s for purchases made to vault vendors.
• Update Vault Guidebook outlining vault operating procedures and policies and communicate them to staff.
WHAT YOU BRING:
The ideal candidate must be knowledgeable handling hard drive media and able to distinguish between different connections and formats, as well as other time-based media formats. They must have experience with metadata entries, and have experience with processing shipments with FedEx, UPS, local couriers and counter to counter couriers. Additional desired skills include:
• Must have customer service and management experience in addition to maintaining relationships with vendors.
• Experience in Film Museum, Media Library, and/or post-production preferred.
• Flexible to work late nights, weekends, and holidays.
