Baseball Operations Administrator – Chicago White Sox

The Chicago White Sox seek an experienced administrative professional to provide support to our Baseball Operations department. This role calls for an individual experienced and comfortable in an administrative support role providing administrative support to our overall baseball operations (both Major & Minor League). The successful candidate will also be capable and experienced in handling independent projects and processes. This is an in-office administrative position, based in Chicago; some travel to Spring Training may be required.

Minor League/Player Development (assisting Director of Minor League Administration)
• Payroll/Expenses/Per Diem
• Player/Staff money related items
• Affiliate Reimbursements
• Player travel expense reimbursement upon being moved
• Player Moves
• As coordinated with MLB
• Affiliate Housing
• Coordination with trainers
• Misc Ops Administration
• Point person for HR/Ticket requests
• MLB Memos
• Spring Training Admin
• Distribute general Spring Training info to Players/Staff
• Assist in Housing / Travel Coordination
• Per diem
• Assist in submitting final contract information to MLB
• Coordinate various Administrative Meetings
• Budget
• Assist Dir of Minor League Operations and Farm Director in budget process
• New Hire On-boarding
• Coordinate with HR to complete pre-screening process
• Computer, email, concur, relevant databases (TruMedia, Sockeye etc)
• Assist with Domestic Contracts
• Drafted Players/Domestic 6YFA's/Releases

Major League Operations (Assisting the Executive Assistant to Sr VP):
• Payroll/Expenses/Budget Admin
• Filing of Expense Reports for EVP and Sr VP/GM
• Administering assignment of Baseball Expenses to proper budget account
• Coordinate Player Housing lease terminations
• Player Moves
• Coordinate with MLB
• Misc Ops Administration
• Point person for HR/Ticket requests
• MLB Memos
• Spring Training Admin
• Assist in Housing / Travel Coordination for Employees
• Coordinate Admin Meetings
• Complimentary Ticket Requests
• Occasional requests from team ownership
• New Hire On-boarding
• Coordinate with HR for pre-screening for front office employees
• Assist with ML Player and Employee Contracts
• Drafting and Entry into MLB computer system of Uniform contracts
• Arranging Employee Travel
• Booking travel arrangements for EVP and Sr VP/GM
• Arrangements for organizational meetings
• Occasional travel related requests by others within the BB Ops Department or Interviewees

Requirements:
• College degree in Business Administration or other related field
• 7+ years of experience in a FULL-TIME administrator or executive support role
• Excellent interpersonal, verbal, and written communication skills
• Ability to multi-task and handle a wide variety of projects simultaneously.
• Must have the ability to work in a fast paced, high volume environment.
• Excellent organizational skills
• Positive, collaborative, and high-energy individual.
• Must be proficient in Microsoft Office
• Must be open to learning and utilizing available technologies.
• Must be trustworthy, with the ability to work with and maintain confidential information.
• Knowledge/familiarity of Major and Minor League baseball required, prior baseball administration experience a plus
• Must be available to work select nights and weekends as dictated by the baseball schedule.
