Job Description
We are seeking a Legal Administrative Assistant to support a group of attorneys in the Legal Department. We are looking for an energetic individual with flexibility as well as poise, confidence, demonstrated professionalism and the ability to interface with clients, senior leaders, external contracting parties and co-workers in a professional, approachable, and positive manner. This position offers the opportunity to manage confidential legal matters and files and assist in facilitating the contract approval and execution process. S/he thrives in a fast-paced, deadline driven environment and is a motivated team player. We are seeking candidates with legal records/contract administration experience or recent college graduates interested in obtaining hands-on legal experience prior to attending law school.

Responsibilities:
• Manage calendars: Keep attorneys and clients apprised of calendar, action items, messages and relevant business issues, both internal and external. Make appropriate, informed decisions regarding attorney's available time
• Coordinate travel, meetings, and special events including scheduling, agenda creation, logistics and catering in addition to processing relevant travel and expense reports
• Create and modify/format documents including agreements, letters, memos, presentations (Power Point), spreadsheets (Excel), and other related documents
• Screen incoming calls, correspondence, interoffice materials to determine the priority and respond appropriately
• Track and follow up on various action items to ensure schedules and due dates are met
• Perform research at the direction of attorneys
• Work closely with the department's Executive Assistant to assist in department projects and events as needed
• Build strong working relationships with coworkers, customers (internal and external), and company management

Contract administration duties:
• Obtain and track the necessary approvals required to execute contracts
• Coordinate the execution of all contracts
• Summarize agreement terms in contract database and file executed contracts
• Retrieve legal files upon request
• Track and manage deadlines and action items related to contract expiration and renewal dates
• Handle special projects on request

Additional Qualifications:
• Bachelor's Degree preferred
• Minimum 2+ years of administrative and/or contract/legal records experience preferred
• Proficiency in Google Mail and Calendar platform
• Strong skills in Word, Excel, Power Point and the ability to learn other programs and software as needed
• Strong organizational, analytical and interpersonal skills
• Strong attention to detail and high level of accountability
• Experience in reviewing and summarizing legal agreements preferred
• Aptitude to read and understand contractual language
• Ability to meet deadlines and prioritize time-sensitive matters
• Demonstrated ability to exercise discretion and judgment in dealing with a range of internal and external executives, organizations and confidential data
• Proven experience in working in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient
• Proven experience in prioritizing and managing multiple projects simultaneously, following through on issues in a timely manner
• Experience in Salesforce.com preferred
